Payroll & Timekeeping Specialist

Location: TBD (will depend on project site assignment)

Employment Type: Full-Time

Position Overview

The Payroll & Timekeeping Specialist will perform all payroll and timekeeping responsibilities accurately on a daily basis at their assigned project site, act as a liaison between the home office payroll and project site, and help champion our timekeeping technology. This position will be based at our project site in Pecos/Barstow, TX area, and will report directly to the Project Accountant. Duties will include, but not be limited to, managing the working operation of timekeeping hardware/software, assisting with entering new hire information/terminations into ADP, and ensuring the introduction of employee information into the time allocation tool and mJobTime. You will also be responsible for ensuring that all hours in the timekeeping software are paid to employees via ADP. The ideal candidate must demonstrate exceptional communication with project supervision/management for crew assignments and work collaboratively with all departments.


Responsibilities

  • Maintain accurate records & files and maintain payroll records in accordance with policy & procedure.
  • Responsible for managing & maintaining timekeeping hardware solutions to ensure accurate time records.
  • Act as the primary project site contact for questions and troubleshooting for timekeeping hardware & software system.
  • Ensure timekeeping systems accurately reflect daily status, and that all data flows are accurately moving across all integrated systems.
  • Support timekeeping system setup & configuration in accordance with project site requirements and in coordination with Home Office.
  • Process the records for hours worked by employees at the project site in accordance with company policy & procedures. Ensure that hours are accurate; and follow up to resolve discrepancies. Provides discrepancy and/or trending reports to management.
  • Work directly with Home Office payroll to ensure timely & accurate processing of payroll, including pre-work of reviewing time adjustments, PTO requests, obtaining necessary approvals, and per diem; Pre-work for weekly project site payroll includes reviewing mJobTime and ADP reporting for errors or issues prior to submitting the payroll.
  • Act as primary contact for questions regarding payroll and timekeeping and respond timely to employee requests.
  • Sort and distribute payroll checks in a timely manner.
  • Receive and process weekly payroll changes, including automatic direct deposits, tax changes, pay rate changes, and union status changes.
  • Ensure the timekeeping system is up to date with the same data that is in ADP.
  • Demonstrate knowledge & understanding of any labor agreements for the project site, and support Union reporting.
  • Collaborate with project controls with respect to timekeeping and time allocation process flows, and technology configuration.
  • Supports management in preparing final checks.
  • Perform Badge Administration.

Desired Qualifications

  • A minimum of 5 years of experience in Payroll/Timekeeping.
  • Experience using mJobTime or similar timekeeping software is required.
  • Experience using ADP Workforce Now is preferred.
  • Intermediate level of proficiency in Microsoft Excel.
  • Working knowledge of state specific and federal payroll/wage and hour laws is required.
  • Highly proficient in verbal & written communication.
  • Ability to work effectively with all levels of employees while inspiring respect, credibility, and integrity.
  • Ability to organize, prioritize, work within deadlines, and multi-task.
  • Must be trustworthy with confidential information; and able to sustain the utmost confidentiality in performing job functions; compliance with all HIPAA, privacy laws and company policies.
  • Strong analytical and problem-solving skills.
  • Effective teamwork and interpersonal skills.
  • Able to react to emergency payroll situations appropriately when required.
  • Must be self-motivated and able to take initiative.
  • High degree of accuracy and attention to detail is required.
  • Must have a demeanor capable of respectfully interacting with people of differing personalities and willingness to follow instructions.
  • Willingness to travel periodically for training.
  • Must work overtime and weekends when required.
