Key Responsibilities and Accountabilities
  • Provide key production coordination support across the production, working closely with the Production Management team to ensure the smooth running of the production in the office, remote hub, and onsite.
  • Organize shoots and onsite bookings, including arranging clearances, film permits, and associated logistical planning such as transport, accommodation, and catering.
  • Book and coordinate crew, including onboarding, scheduling, and creating Work Orders via the payment portal.
  • Liaise with third-party suppliers and process invoices as required.
  • Liaise with internal departments (including Legal, HR, Finance, and Immigration) to assist with securing visas and work permits when required.
  • Create and distribute detailed call sheets and risk assessments, acting as a key point of contact for crew.
  • Track costs on a daily basis, working closely with the Accounts Assistant to monitor spend, process invoices, and raise purchase orders.
  • Troubleshoot and respond to ad-hoc production queries and duties in conjunction with the Production Manager.
  • Complete post-production paperwork, including music cue sheets, PAPs, and archive and music clearances where applicable.
  • Maintain effective working relationships with internal facility providers and external suppliers.
  • Assist with the creation and distribution of production documentation, including call sheets and studio information.
  • Champion IMG's Diversity, Equity, and Inclusion initiatives and actively support the organization's mental health programs.
  • Assist in implementing all health and safety procedures, including risk assessments.
  • Work closely with colleagues across pre-production, production, and post-production to support IMG's GreenToScreen sustainability goals and reduce the production's carbon footprint wherever possible.
  • Carry out other duties within the scope and purpose of the role as required.

  • Strong ability to support cost management of production budgets, working closely with Production Managers and Finance teams./
  • Knowledge of production and post-production technologies and workflows.
  • Understanding and practical experience of archive and music clearance processes.
  • Knowledge of production insurance and health and safety requirements.
  • Experience working directly with clients and on-screen talent.
  • Excellent written and verbal communication skills, with strong organizational capability.
  • Confidence in managing large crew teams during pre-production and event time.
  • Experience working with international teams and stakeholders where English is not a first language (essential).
  • Multi-language skills (desirable).
