Job description

Assistant Production Coordinator

Position Summary

The Assistant Production Coordinator supports the production team in tracking, coordinating, and executing key production activities from development handoff through final delivery. This entry-level role offers an excellent opportunity to build a foundation in apparel production, working closely with Production Coordinators and the Senior Production Manager to ensure on-time delivery of quality goods across the company’s product categories.


Key Responsibilities

Production & Timeline Support

  • Assist in tracking all production stages from pre-production through final delivery (WIP, in-transit, and completed orders)
  • Help maintain and update T&A calendars to support adherence to key milestones
  • Support monitoring of delivery schedules and flag potential risks to on-time shipment
  • Assist in preparing and distributing production status updates and WIP reports


Order Placement Assistance

  • Assist in creating and sending order detail sheets to Dhaka and Shanghai offices in Excel format (quantity, size ratio/pre-pack, price, packing and packaging instructions)
  • Help maintain vendor packaging guides from retailers, ensuring all documents are current
  • Support the team in tracking open orders and following up on outstanding confirmations


Packaging & Ticketing Support

  • Assist with ordering price tickets from customer-nominated suppliers
  • Support review of care label, hangtag, carton marking, polybag sticker, and packaging layouts
  • Help coordinate with design teams and hangtag/label suppliers on new setups and change requests from licensors


Sample & Approval Tracking

  • Assist in tracking all sample stages (proto, fit, PP, TOP, Ad Samples) across assigned styles
  • Help maintain approval logs and reports for fabrics, trims, lab dips, strike-offs, and packaging
  • Follow up with vendors and factories to ensure sample submissions and approvals are on schedule


Vendor & Factory Communication

  • Assist in daily communication with overseas factories and vendors regarding production status
  • Help ensure factories have the most up-to-date tech packs and specifications
  • Support follow-up on outstanding issues under the direction of the Production Coordinator or Senior Production Manager


Data Entry & Reporting

  • Assist in maintaining Excel WIP reports, production trackers, and approval logs
  • Update internal systems (Blue Cherry, Datametrics, Excel-based trackers) with current production data
  • Prepare reports and summaries as directed by the production team
  • Cross-Functional & Administrative Support
  • Support coordination between Design, Technical Design, Merchandising, and Sales teams
  • Assist with PO accuracy checks, size scales, labeling reviews, and customer requirement documentation
  • Provide general administrative support to the production team as needed


Qualifications

• Bachelor’s degree preferred; degree in Fashion Merchandising, Business, Supply Chain, or related field a plus

• 0–2 years of experience; internship experience in apparel production, sourcing, or merchandising strongly preferred

• Basic understanding of garment construction, fabrics, and apparel production processes a plus

• Strong proficiency in Microsoft Excel (Pivot Tables, XLOOKUP, SUMIF, etc.)

• PLM and ERP system experience a plus

• Ability to communicate clearly and professionally with both internal teams and external vendors

• Highly organized, detail-oriented, and eager to learn in a fast-paced environment
