BMW of Warwick is looking for a knowledgeable and friendly Pre-Owned Vehicle Administrator to join our dealership team and deliver extraordinary customer experiences.
The Pre-Owned Vehicle Administrator / Assistant to the Pre-Owned Manager plays a critical role in supporting the daily operations of the pre-owned department. This position is responsible for inventory management, vehicle merchandising, pricing support, reconditioning oversight, quality control inspections, and ensuring all pre-owned inventory meets dealership/Company standards for presentation, accuracy, and profitability.
Key Responsibilities:
Inventory Management & Vehicle Processing
- Manage and track pre-owned vehicle inventory from acquisition through retail sale or wholesale disposition.
- Ensure all vehicle information is accurately entered and maintained in dealership systems.
- Monitor vehicle processing timelines and provide regular inventory status updates to management.
- Coordinate vehicle movement throughout the reconditioning and merchandising process.
Vehicle Inspections & Quality Control
- Conduct thorough inspections of trades and purchased vehicles to determine status of retail or wholesale eligibility.
- Perform final quality inspections upon completion of reconditioning to ensure vehicles meet dealership standards.
- Identify and communicate any deficiencies requiring additional attention before vehicles are offered for sale.
- Maintain inventory presentation standards throughout the lot.
Vehicle Merchandising & Online Listings
- Create and maintain accurate vehicle descriptions for online listings.
- Ensure all inventory is properly photographed, merchandised, and advertised across all platforms.
- Verify pricing, specifications, features, and vehicle information for accuracy.
- Monitor online inventory presence and update listings as needed.
Pricing & Inventory Support
- Assist with vehicle pricing strategies utilizing market data and dealership tools.
- Monitor market trends and inventory aging to support inventory turn objectives.
- Work closely with management to identify pricing adjustments and merchandising opportunities.
Reconditioning & Vendor Coordination
- Utilize dealership tools and systems, including Recon-Vision and inventory management tool V-Auto.
- Monitor reconditioning progress and ensure timely completion of repairs and services.
- Coordinate with service, detail, body shop, and transportation vendors as necessary.
Lot Management & Vehicle Logistics
- Maintain vehicle lot organization and appearance according to dealership and company standards.
- Ensure vehicles are properly displayed and readily accessible for consumers and sales depts.
- Transport and position vehicles throughout the dealership property and designated storage locations.
- Coordinate vehicle transfers between departments, locations, and vendors.
Administrative Duties
- Maintain accurate records, reports, and inventory documentation.
- Support management with inventory analysis and reporting.
- Assist in implementing dealership policies and procedures related to pre-owned operations.
- Perform additional duties as assigned by management.
Qualifications
- Automotive dealership experience preferred, particularly in pre-owned vehicle operations.
- Strong organizational and time-management skills.
- Attention to detail and commitment to quality standards.
- Proficiency with dealership management systems and inventory tools.
- Strong communication and teamwork skills.
- Valid driver's license with an acceptable driving record.
- Ability to operate and move vehicles safely.
Physical Requirements
- Ability to stand, walk, bend, and move vehicles throughout the workday.
- Ability to work outdoors in varying weather conditions.
- Ability to drive and park vehicles safely on dealership property.
