Job Title: Practice Manager

Practice: Complex Knee, Shoulder & Sports Medicine Specialist; Armando F. Vidal, MD

Status: This is a full-time, year-round, benefits eligible position.

Classification: Exempt - Salary

Location: Primarily based in Vail with occasional travel to other clinic locations.

Schedule: M-F

Pay Range: $65,000-$80,000 DOE


PRACTICE MANAGER OVERVIEW

The Practice Manager is responsible for overseeing the administrative duties for the specified physician practice. The Practice Manager will help direct patient flow, provide administrative oversight to clinical providers, and ensure that patients receive the highest quality customer service experience while receiving world-class orthopaedic medical care.


CORE RESPONSIBILITIES

  • Provide executive support to assigned physician practice: performs complex administrative duties including responding for physician when he is unavailable, composing correspondence, and coordinating resources across the practice.
  • Oversees patient relations providing patients with outstanding customer service and support, handles patient medical questions and complaints.
  • Serve as a primary point of contact for surgery scheduling, coordinating with patients, insurance teams for authorization, and external surgical facilities to ensure seamless scheduling and care coordination.ย 
  • Develops and maintains clinic/patient surgery schedule and coordinates patient flow.
  • Responsible for coordinating meetings for assigned physician which includes, but isn't limited to, reserving meeting rooms, ordering meals, developing agendas, taking/publishing minutes, and following through on action items.
  • Under the direction of the physician, partner with Human Resources on recruitment, hiring and onboarding of new employees, managing the annual performance evaluation process, and supporting performance management needs.
  • Under direction of the physician, support the supervision of the Physician's Team including maintaining staff schedule and time off requests to ensure appropriate clinic coverage.
  • Develop and implement policies and procedures to ensure the smooth running of the practice.
  • Develop strategies for continued growth and development of physician practice.
  • Serves as a representative to the Practice Manager Team meetings.
  • Maintain compliance with all relevant laws and regulations, including HIPAA and OSHA.

Requirements

MINIMUM QUALIFICATIONS

  • Three to five years' experience working in a medical practice/healthcare setting, preferred, at least 1 year required.
  • Excellent organization, communication (both written and verbal), and interpersonal skills required.
  • Strong attention to detail, with the ability to consistently produce accurate and thorough work, identify errors or inconsistencies, and ensure precision in all tasks.
  • Ability to work in a fast-paced environment and manage a variety of tasks while prioritizing most essential tasks
  • Strong problem-solving and decision-making skills
  • Ability to work independently and as part of a team
  • Strong proficiency in Microsoft Office Suite (including Outlook), with the ability to effectively manage email communication, schedule meetings, organize tasks
