Job description

Job Title: Office / Mailing Clerk

Department:

Reports to: Operations Manager

Location: Pompano Beach, Fl

FLSA Status: Non-exempt

 

Job Summary

The Office Assistant / Mailing Clerk manages the high-volume, secure, and timely flow of legal documents, mail, and packages. Key duties include sorting/delivering mail, processing overnight shipping (FedEx/UPS), scanning documents, and maintaining office supplies. This role requires high attention to detail, confidentiality, and reliability to ensure legal deadlines are met

 

Key Responsibilities

  • Mail Distribution: Provide mailroom services, which encompass sorting, distributing, collecting, and metering mail and parcels accurately and promptly. This includes making bank deposits and delivering items to the post office as necessary.
  • Document Processing: Handle copying, printing, faxing, and scanning tasks based on written or verbal requests. File client documents and scan completed files in a timely manner.
  • Confidentiality: Handle confidential, sensitive, and time-sensitive legal documents with discretion.
  • Confirm the appropriate arrangement and tidiness of conference rooms. Verify that all rooms are equipped with essential supplies and consistently prepared for use. Aid in the delivery and arrangement of catering for meetings. Maintain organization and cleanliness in shared office areas.
  • Carry out incidental cleaning, dusting, and similar duties.
  • Office Maintenance: Organize general cleaning and managing office supplies. Monitor and maintain supply levels, restocking and coordinating reorders as needed. Organize and distribute supplies in the kitchen and coffee area.  
  • Coordinate service calls for mail and copy room equipment as required.
  • Provide backup support at the front desk, welcoming clients and answering incoming calls.
  • Perform other duties as assigned.

 

Qualifications

  • Education: A high school diploma or its equivalent is required.
  • Experience: 3 years+ experience in clerical, administrative, and mailroom roles is advantageous in the legal industry, though it is not mandatory.
  • Physical Demands: Ability to lift, push, or pull items up to 50 pounds.
  • Capable of completing tasks within deadlines, detail-oriented, and proficient in multitasking.
  • Soft Skills: Excellent organizational abilities, meticulous attention to detail, and the capacity to prioritize tasks in a dynamic environment, along with effective communication skills and the talent for nurturing positive working relationships.
  • Technical Skills: Highly skilled in computer applications, including Excel, Microsoft Word, and Microsoft Outlook for email and internet purposes. Experienced in using office equipment such as copiers, scanners, and fax machines.
  • Proficient in operating a Pitney Bowes electronic U.S. postage meter machine. Knowledgeable about the US Postal Service and express shipping options such as FedEx and UPS
  • A valid driver's license and insurance are essential, along with the requirement of having an automobile.
  • Must possess the ability to work independently.
