Job description

Position Summary

The Organized Play Assistant is an individual contributor responsible for supporting the Card Business Organized Play (OP) team in the coordination and administration of OP programs, tournament operations, judge logistics, and related business processes. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast paced environment.


Key Responsibilities

  • Schedule meetings and prepare meeting minutes.
  • Assist the Organized Play Specialist with tournament administration, including:
  • Requesting invoices from Tournament Organizers (TOs)
  • Collecting proof of payment documentation
  • Entering earned invites into tracking systems
  • Preparing documentation for final invoice payments
  • Review and approve tournaments submitted by Tournament Organizers through the Online Tournament Software and KONAMI Card Game Network (KCGN).
  • Communicate with Official Tournament Stores to gather outstanding event reports and assist with reporting compliance for Tier 2 events, including but not limited to OTS Championships and Regional Qualifiers.
  • Assist with Regional Qualifier product and prizing returns.
  • Assist Duelists with NEURON and Card Game IDโ€™s.
  • Learn and support the operation of both online and offline tournament software platforms.
  • Process judge call applications and prepare supporting documentation for review by the Judge Manager.
  • Receive and record judge travel plans and expense information.
  • Prepare judge travel reimbursement summaries for review and approval by the Judge Manager.
  • Coordinate the distribution and receipt of judge travel offers.
  • Compile judge gift lists for Tier 3 event freight shipments.
  • Assist with Zendesk ticket management and support inquiries.
  • Prepare and maintain hotel accommodation lists for judges.
  • Perform additional duties and special projects as assigned.


Qualifications

  • Ability to lift and move up to 50 pounds.
  • Strong organizational and time management skills.
  • Ability to work effectively under pressure and meet deadlines.
  • High degree of professionalism and confidentiality.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Ability to manage multiple tasks and priorities simultaneously.
  • Proven ability to collaborate effectively with individuals of diverse personalities, work styles, and cultural backgrounds.
  • Knowledge of, or willingness to learn, KONAMI Card Business intellectual properties, products, and gameplay.
  • Strong written and verbal communication skills.
