The Role

We are seeking a detail-oriented and highly organized Part 135 Crew Scheduler to manage crew assignments, scheduling, and compliance for our growing on-demand charter operation. In this critical role, you will ensure safe, legal, and efficient crew utilization while supporting our pilots and flight crew members in a fast-paced, 24/7 aviation environment. The ideal candidate thrives under pressure, excels at problem-solving, and maintains strict regulatory compliance with FAA Part 135, Part 91, and company policies.

What You'll Do

  • Create, maintain, and adjust daily/weekly/monthly crew schedules for pilots to meet flight demand while adhering to FAA duty, rest, flight time limitations, and company policies.
  • Monitor and track crew availability, qualifications, training currency, medicals, and certifications.
  • Coordinate with Flight Operations, Dispatch, Maintenance, and Sales teams to optimize crew assignments for all flights
  • Assist in managing crew notifications, crew coverage, and last-minute schedule changes.
  • Ensure all scheduling complies with FAA Part 135 regulations, including flight and duty time tracking, rest requirements, and record-keeping.
  • Maintain accurate records in scheduling software and company databases.
  • Generate reports on crew utilization, overtime, duty days, and compliance metrics for management.
  • Handle crew fatigue risk management and proactively identify potential scheduling conflicts.
  • Support crew member travel logistics, hotel accommodations, and ground transportation as needed.
  • Assist with training schedule coordination and recurrent training tracking.
  • Respond to operational disruptions (delays, weather, maintenance) with timely re-scheduling solutions.
  • Maintain confidentiality and professionalism when handling sensitive crew and operational information.

Qualifications & Requirements

Required:

  • 2+ years of crew scheduling experience in Part 135, Part 121, or corporate aviation
  • Strong working knowledge of FAA regulations (Part 135, Part 91, flight time/duty limitations).
  • Excellent organizational and multitasking skills with the ability to prioritize in a dynamic environment.
  • Proficiency with aviation scheduling software and Microsoft Office Suite (especially Excel).
  • High attention to detail and strong problem-solving abilities.
  • Ability to work flexible hours, including nights, weekends, and holidays as required for 24/7 operations.
  • Excellent written and verbal communication skills.

Preferred:

  • Prior experience in a Part 135 charter environment.
  • Familiarity with flight planning tools and crew management systems.
  • Aviation background or pilot/crew resource management knowledge.
  • Associate's or Bachelor's degree in Aviation, Business, or related field
