Job description

Primary Purpose:
Perform secretarial duties and assist Program Coordinators in efficient operation of the Department.
Qualifications
Education/Certification:
High school diploma or equivalent
Experience:
Three years secretarial/clerical experience
Special Knowledge and Skills:
Knowledge of all job related skills necessary to perform assigned duties.
Major Responsibilities and Duties
  • Serve as receptionist for Program Coordinators - Communicate with parents, community, administrators, and TISD staff.
  • Review mail, handle routine items, and determine distribution for Program Coordinators.
  • Coordinate meetings - arrange for facilities, contact participants, prepare materials, and supply refreshments.
  • Assist in development of program budgets.
  • Demonstrate responsible fiscal control of assigned program budgets, including purchasing, invoicing and inventorying items, as appropriate.
  • Maintain accurate records of expenditures.
  • Assist in coordination of staff development programs - preparation of brochures and materials, registration, and analysis of evaluation data.
  • Assist in coordination of district-wide surveys.
  • Maintain office equipment.
  • Order materials and supplies for efficient operations of office.
  • Maintain filing systems.
  • Prepare documents - curriculum, program evaluations, and Board Reports.
  • Prepare manuals and handbooks for distribution.
  • Maintain professional library.
  • Prepare graphics for presentations.
  • Coordinate registration, travel, and housing arrangements for Program Coordinators.
  • Continue to refine computer skills - word processing, database, spreadsheet, etc.
Working Conditions
  • Necessary to lift heavy boxes in the process of receiving and inventorying equipment.
  • Use of personal vehicle is necessary to run errands and pick up supplies as necessary.

Wage/Hour Status: Non-Exempt
