Job description

We are seeking a diligent and highly organized Bodily Injury Defense Legal Assistant to provide comprehensive administrative and case management support to our legal team. The ideal candidate will assist attorneys and paralegals in managing a busy litigation caseload, focusing on gathering evidence, organizing records, and preparing documentation for defending clients against bodily injury claims. This role requires meticulous attention to detail, excellent communication skills, and the ability to work effectively in a deadline-driven environment.

Key Responsibilities

• Information and Record Management:

o Obtain, review, organize, and summarize various case materials, including medical records, billing statements, police reports, witness statements, and insurance documentation.

o Create and maintain comprehensive and accurate physical and electronic case files.

• Document Preparation and Filing:

o Draft, proofread, and format legal documents, correspondence, and pleadings such as discovery requests and responses (interrogatories, requests for production), subpoenas, and affidavits for attorney review.

o Electronically file legal documents with state and federal courts, adhering to all applicable rules and procedures.

• Case Coordination and Scheduling:

o Manage attorney calendars and track critical deadlines, including statutes of limitation, court dates, and discovery cutoffs.

o Schedule depositions, hearings, independent medical examinations (IMEs), and client/witness meetings, coordinating with all involved parties.

o Communicate professionally with clients, insurance adjusters, opposing counsel offices, medical providers, and expert witnesses.

• Litigation and Trial Support:

o Assist attorneys in preparing for depositions, pre-trial investigations, arbitrations, and trials.

• Administrative Support:

o Provide back-up assistance when necessary with answering phones, supply orders, additional tasks as needed.

Required Qualifications and Skills

• Experience: A minimum of 1-3 years of legal assistant experience, with prior experience in civil litigation, insurance defense, or personal injury preferred.

• Skills:

o Meticulous attention to detail and strong organizational skills.

o Excellent written and verbal communication abilities.

o Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with legal case management or document management software.

o Ability to work independently, prioritize workload, and manage multiple tasks in a fast-paced, deadline-driven environment.

o Strong analytical and problem-solving skills.

o Commitment to maintaining strict confidentiality and adhering to ethical standards (e.g., HIPAA).

o Knowledge of Clio case management software preferred.
