Position Summary

Estate Planning & Legacy Law Center is seeking a dependable and detail-oriented Legal Administrative Assistant & Bookkeeper to support the day-to-day operations of our Altamonte Springs office. This multifaceted role combines client communication, administrative support, file management, scheduling, and bookkeeping responsibilities within a busy estate planning and probate practice.

As a key point of contact for the firm, you'll answer incoming phone calls, assist current and prospective clients, coordinate appointments, and help ensure every interaction is handled with professionalism and care. Behind the scenes, you'll keep client files and office processes organized while supporting essential financial functions, including QuickBooks administration, transaction tracking, and account reconciliations.

Key Responsibilities

Client Communication and Scheduling

  • Answer incoming client and prospective client telephone calls and respond to routine inquiries

  • Schedule client consultations, document signings, follow-up meetings, and other appointments

  • Manage and coordinate attorney calendars and appointment availability

  • Confirm appointments and communicate scheduling changes as necessary

  • Communicate with clients by telephone and email regarding appointments, documents, and general administrative matters

  • Gather basic information from prospective and existing clients as needed

Client Intake and File Management

  • Conduct administrative intake for new clients and matters

  • Create and maintain electronic and physical client files

  • Enter and maintain accurate client and matter information within the firm's systems

  • Scan, upload, organize, and properly name client documents

  • Maintain organized and complete files throughout the duration of a matter

  • Process completed matters for closing, including scanning, organizing, and archiving files

  • Retrieve and provide files or documents as requested by attorneys and staff

QuickBooks and Financial Administration

  • Maintain and reconcile the firm's bank ledger

  • Monitor account activity and provide daily account balance information

  • Record and classify deposits, expenses, and other transactions in QuickBooks

  • Perform monthly bank and account reconciliations

  • Review financial entries for accuracy and research routine discrepancies

  • Maintain supporting documentation for financial transactions

  • Assist with year-end reconciliation and preparation of financial records for the firm's accountant and tax preparation

  • Assist with tracking client payments, deposits, refunds, and other routine financial transactions

Office Administration

  • Provide general administrative support to attorneys and staff

  • Monitor office supply inventory and order supplies as needed

  • Coordinate with vendors and service providers

  • Address routine office, equipment, and facility issues as they arise

  • Process incoming and outgoing mail and deliveries

  • Maintain organized office records and common areas

  • Assist with document preparation, scanning, copying, mailing, and filing

  • Perform other administrative and office management duties as assigned

Required Qualifications
  • 1+ years of administrative experience in a professional office environment

  • Prior bookkeeping experience, including recording and categorizing financial transactions and performing bank or account reconciliations

  • Experience with QuickBooks or similar accounting software; QuickBooks experience strongly preferred

  • Strong organizational and time-management skills with the ability to manage multiple priorities independently

  • Ability to manage a high volume of incoming phone calls, scheduling requests, and client communications while maintaining professionalism and attention to detail

  • Professional written and verbal communication skills with the confidence to communicate directly with current and prospective clients

  • Excellent attention to detail and accuracy when working with client, financial, and administrative records

  • Ability to coordinate appointments, manage calendars, and maintain consistent follow-through on administrative tasks

  • Ability to handle confidential client and financial information with professionalism and discretion

  • Proficiency with Microsoft Office, including Outlook, Word, and Excel

  • Comfortable learning and working within practice management, document management, and other office software systems

Preferred Qualifications
  • Previous experience working in a law firm, estate planning practice, or other professional services environment

  • Previous experience supporting attorneys or other professionals in a client-facing administrative role
