A private family office is seeking a highly organized and trustworthy Bookkeeper / Office Assistant to support day-to-day financial, administrative, and operational activities. This individual will play a key role in maintaining accurate financial records, supporting leadership, coordinating vendors, and ensuring the smooth operation of a fast-paced, high-touch environment.

Key Responsibilities

Bookkeeping

  • Process invoices, bills, and vendor payments while maintaining organized supporting documentation.
  • Enter financial transactions into QuickBooks and maintain accurate records.
  • Reconcile credit card accounts and track expenditures.
  • Monitor recurring expenses, service contracts, memberships, and renewals.
  • Prepare expense reports, budgets, and tracking schedules using Excel.
  • Maintain petty cash records and reconcile receipts.

Office Administration

  • Provide administrative support to senior leadership and family office staff.
  • Organize and maintain digital and physical records, asset inventories, manuals, contracts, warranties, and contact databases.
  • Coordinate travel arrangements, reservations, and appointments.
  • Schedule and manage virtual meetings via Teams or Zoom.
  • Assist with special projects, operational initiatives, and general office support.
  • Run occasional local errands as needed.


• Qualifications

  • 5+ years of bookkeeping experience with QuickBooks.
