Job description

Our firm is seeking a highly organized and detail‑oriented Legal Secretary to provide direct administrative and legal support to multiple attorneys including at the Partner level. This role requires strong communication skills, excellent judgment, and the ability to manage multiple priorities in a fast‑paced legal environment. We welcome candidates with diverse backgrounds and experiences who are committed to professionalism and client service.

Key Responsibilities

  • Manage the Partner's calendar, deadlines, and daily workflow

  • Draft, edit, and format legal documents (motions, pleadings, correspondence, agreements)

  • Prepare and file documents with Rhode Island state and federal courts (electronic and physical)

  • Organize and maintain case files, both digital and physical

  • Assist with client communication, scheduling, and intake

  • Coordinate meetings, travel, and internal communications

  • Support billing processes, including time entry and invoice preparation

  • Maintain confidentiality and handle sensitive information with discretion

 

Required Qualifications

  • 3+ years of experience as a legal secretary or legal administrative assistant

  • Strong knowledge of legal terminology and Rhode Island court procedures, Connecticut and Massachusetts a plus.

  • Proficiency with Microsoft Office and legal case management software

  • Excellent written and verbal communication skills

  • Strong proofreading and document formatting abilities

  • Ability to manage multiple deadlines and prioritize effectively

  • High level of professionalism, discretion, and reliability

 

Preferred Qualifications

  • Experience supporting a Partner or senior attorney

  • Litigation defense experience (or specify your practice area)

  • Familiarity with Rhode Island e‑filing systems and PACER
