About the Role:

Home Helpers Home Care is hiring a Billing & Payroll Specialist to own the financial engine behind client care — accurate billing, clean payroll, and a paper trail that holds up to any audit. This is a behind-the-scenes role with a front-of-house consequence: get it right, and caregivers get paid on time and clients get billed correctly. Get it wrong, and both relationships take the hit.

The role reports to the CEO and works under the daily direction of the company's fractional CFO, who sets billing and payroll priorities, reviews output, and is the specialist's primary point of contact for questions and escalations.

This position is considered Hybrid; WFH is permitted, however, applicant's need to be able to come into office at either our Salt Lake City, Layton or St. George offices.

Key Responsibilities:

  • Process and audit client billing — authorizations, rates, service dates, and payer requirements across Medicaid, VA, private pay, and other funding sources.
  • Run payroll processing: review caregiver time records, resolve discrepancies, and ensure hours are entered and approved per policy and wage law.
  • Reconcile billing and payroll data across systems so numbers match, every time.
  • Catch and document billing or payroll errors — overpayments, underpayments, mismatches — and report them to the fractional CFO for resolution.
  • Prepare invoices, post payments, and reconcile accounts as assigned.
  • Maintain complete, audit-ready financial documentation.
  • Communicate directly and professionally with staff, caregivers, and the CFO on billing/payroll questions and corrections.
  • Protect confidentiality of client, employee, and financial information without exception.
  • Stay current on billing, payroll, and compliance training requirements.

What You Bring:

  • 1+ years of billing and/or payroll experience; home care, home health, or healthcare billing strongly preferred.
  • Working knowledge of Medicaid, private-pay, and third-party payer billing structures.
  • Comfort with payroll systems and wage-and-hour basics.
  • Sharp attention to detail — this role is the last line of defense before money moves.
  • Proficiency in Microsoft Office and scheduling/billing software (e.g., WellSky, AlayaCare, ClearCare, or similar).
  • Ability to work independently, prioritize under deadline (heaviest volume falls Sunday–Tuesday), and flag problems before they become patterns.

Qualifications:

  • High school diploma required; Associate's degree in accounting, business, or related field preferred.
  • Must be 18+, pass background check and drug screening (including APS/CPS checks).
  • Reliable transportation; able to work scheduled hours on-site in South Salt Lake, Layton, or St. George
