Job description

The Payroll & Tax Manager position is responsible for various federal and state tax compliance and related tax research associated with the PEO/ASO industry. As a payroll & tax specialist, this position works to verify accuracy and timeliness related to the payroll tax function to ensure compliance with laws and regulations, including organizational policies and procedures.

Duties & Responsibilities

  • Prepares or reviews a variety of tax-related documents, ensuring accuracy and compliance with applicable guidelines and regulations.
  • Performs tax reconciliations and determines liability for accounts, divisions, or business units.
  • Assists in the preparation and distribution of tax forms.
  • Answers questions and researches discrepancies.
  • Collaborate with HR, Benefits, and Client Success teams to ensure accurate data flow across all HR and payroll functions.
  • Research, interpret, and understand existing or revised tax codes, laws, or forms.
  • Modifies work procedures to reflect changes in tax law or code.
  • Notify leadership of regulatory updates and propose and implement required changes.
  • Resolve escalated issues with clients or internal departments.
  • Build and administer PTO plans within PrismHR, including accrual basis (hours worked, flat rate, anniversary, calendar year), carryover and rollover rules, waiting period enforcement, payout parameters, and multi-tier eligibility configurations.
  • Manage and execute accurate, timely multi-state payroll processing for a portfolio of PEO and ASO clients on weekly, biweekly, semi-monthly, and monthly schedules
  • Works with outside services to make and monitor tax deposits.
  • Monitors and certifies all filings of returns on a quarterly and annual basis. Handles annual W2 balancing and coordinates with outside service for the printing and mailing of W2s.

Skill/Experience Requirements

  • A thorough knowledge and understanding of payroll tax and the regulatory environment, which includes federal, multi-state, and local tax regulations.
  • The ability to read, understand, and analyze highly complex regulatory payroll tax information.
  • Interpret and analyze complex data, make determinations free from immediate direction, and ensure that payroll taxes are appropriately processed. Work with Payroll and Implementation teams to ensure proper setup and use of payroll taxes.
  • The ability to manage multiple tasks, meet deadlines and adapt to fast-paced environment.
  • Advanced skills in Excel. Understanding of database reporting.
  • Ability to work both independently and collaboratively and possess strong customer service skills.
  • Ability to lead an outside service team and supervise complex projects
  • Minimum of three years Payroll Tax experience.
  • Experience in multi-state tax environment preferred
  • PEO or related industry experience required.
  • Hands-on tax return processing experience is required
  • Knowledge of multi-state payroll, federal, state and local wage laws required.
  • MasterTax and Prism/HRP experience required. Certified Payroll Professional
