Job description

This position is hybrid and will be in the office 3 days per week.ย Role of a Payroll Specialist

Under general supervision, responsible for processing payroll for operating companies ensuring proper and timely processing of weekly and bi-weekly payroll across multiple states.

Essential Responsibilities
  • Processes weekly and biweekly multi-state payroll, including garnishments, deductions and taxes consistent with federal and state wage and hour laws.
  • Processes manual check requests for terminations and payroll adjustments for all operating companies.
  • Reviews hours for accuracy before importing from the timeclock system (Timeclock Plus) to the HRIS system (JD Edwards).
  • Submits payroll file weekly to vendor for processing on time.
  • Prepares all payroll related analyses as required by management.
  • Researches payroll problems and resolves discrepancies.
  • Works with all operating company's payroll personnel to ensure payroll processes are followed and accurate recordkeeping is maintained.
  • Answers payroll-related inquiries as well as policy and procedural questions from operating company's payroll coordinators or Corporate employees.
  • Performs data entry for direct deposit (new, changes, deletions) and employee tax elections.
  • Provides monthly reports for managers.
  • Supports month end tasks.
  • Assists with Paid Time Off (PTO) and Payroll accrual processes.
  • Support team with tax reporting processes and payment of employer and employee withholdings, W-2s, and other mandated tax adjustments and filings.
  • Processes wage garnishment orders, including the setup of the deductions and the coordination with operating company's payroll coordinators and outside agencies to ensure accuracy and timeliness of the deduction.
  • Prepares garnishment payments with 3rd party vendor and Accounts Payable (AP).
  • Processes all 401K changes for union and non-union employees as wells as third party sick pay.
  • Completes reconciliation process of time clock and HRIS hours, 401K deferrals and loans.
  • Works with Information Technology (IT) to research and resolve issues and/or technical problems. Expedites issues as necessary to ensure accurate payroll is processed timely.
  • Assists with HRIS maintenance and testing.
  • Supports the implementation of new companies into the payroll system.
  • Remains current with multi-state payroll rules and regulations in an effort to ensure compliance.
  • Other duties as assigned.
Qualifications
  • Two years of related payroll experience including experience running and creating query reports (e.g., Showcase, Hubble reporting).
  • High school diploma or GED required.
  • Bachelor's degree preferred.
  • FPC or CPP certification desired.
  • Technical and professional principles, practices, laws, applications and programs in position related area including basic knowledge of payroll regulations, procedures and knowledge of California Wage and Hour rules.
  • Current developments and trends in areas of expertise.
  • Working knowledge and experience with payroll systems (e.g., JD Edwards, SAP, Peoplesoft, etc.)
  • Timekeeping programs (e.g., TimeClock Plus, Kronos, etc.) and interfacing with external payroll processing vendor (ADP or similar); experience as a team member in the implementation or upgrade of timekeeping/payroll systems.
  • Computer programs, including Microsoft Office suite of applications.
