Job description

Position Summary

The Payroll Specialist is responsible for managing and processing the organization’s payroll operations accurately and efficiently. This role ensures compliance with all federal, state, and local payroll regulations while maintaining confidentiality and integrity of employee payroll data. The Payroll Specialist will work closely with Human Resources, Accounting, and management to ensure timely payroll processing, reporting, and reconciliation.

Core Responsibilities

Payroll Processing

  • Manage end-to-end payroll cycles for hourly and salaried employees.
  • Calculate gross-to-net payroll, including overtime, bonuses, commissions, deductions, and reimbursements.
  • Ensure timely and accurate payroll processing in accordance with company schedules.

Compliance & Tax Administration

  • Ensure compliance with all federal, state, and local labor laws and payroll tax regulations.
  • Process payroll tax withholdings, garnishments, and other required deductions.
  • Stay current on changes in payroll legislation and regulatory requirements.

Data Management & Reporting

  • Maintain accurate employee payroll records and documentation.
  • Generate payroll reports for accounting, audits, and management review.
  • Verify payroll data for accuracy and completeness before processing.

Payroll Disbursement

  • Coordinate payroll distribution through direct deposit, live checks, or other payment methods.
  • Manage wage garnishments, child support orders, and other payroll-related deductions.
  • Respond to employee payroll inquiries in a timely and professional manner.

System Maintenance

  • Utilize and maintain payroll systems such as ADP, SAP, or similar software platforms.
