Job description

Payroll Assistant


Location: 11738 Kingsway NW, Edmonton, AB

Closing Date: Until Suitable Candidate Found

Position Status: Full Time (40 hours/week), One Year Employment Contract


The Otipemisiwak Metis Government is recruiting for Payroll Assistant within the Corporate Finance Department. Reporting to the Payroll Operations Manager, the successful candidate will be responsible for assisting in inputting payroll data such as entering new hires, salary increases, reporting changes, and updating personal information in the payroll systems. This position will also be responsible for timesheet verification and day-to-day updates for payroll. The Payroll Assistant must be a strong team player, possess exceptional attention to detail, and have solid communication skills.

Key Responsibilities

  • Process payroll on a bi-weekly basis for all salary and hourly employees.
  • Monitor employee wellness, vacation, personal, and overtime requests to ensure accurate processing.
  • Ensure accurate and timely submission of payroll data, including hours worked, deductions, and overtime. Work with employees and the Payroll Operations Manager to address any timesheet errors.
  • Upload verified timesheets to Sage and submit to bank for payment processing.
  • Process employee severance and final pay outs, salary changes, special payments, Records of Employment, and other government remittances, as required.
  • Update employee benefit deductions.
  • Review all bills and statements from benefits providers to ensure accuracy and communicate with providers regarding any discrepancies, working in collaboration with Human Resources, as required.
  • Prepare annual payroll schedule.
  • Assist Human Resources in maintaining up to date HRIS records.
  • Work collaboratively with other Finance team members, providing guidance and support on payroll processes and procedures, as required.
  • Present a positive and professional image of the organization when interacting with employees, citizens, visitors, and other external stakeholders.
  • Other duties as required or assigned.

  • Knowledge of Metis history, culture, and issues affecting Metis people. An in-depth understanding of the Otipemisiwak Metis Government and Metis culture, people, and values is an asset.

Qualifications

  • Diploma or certificate in Accounting, Business Administration, Human Resources, or related field.
  • One to two years' of payroll experience is considered an asset.
  • Experience with SAGE 300 and HRIS systems (Criterion, BambooHR, etc.) is an asset.
  • Payroll Compliance Practitioner (PCP) designation is an asset but not required.
  • Experience working in a non-profit, government, or Indigenous organization is an asset.

Other Requirements

  • Position is based in Edmonton; in-office presence is required.
  • Ability to work a regular schedule of Monday - Friday, 8:30 AM - 4:30 PM, as well as occasional evenings and weekends.
  • Ability to travel throughout the province of Alberta, with notice.
  • Reliable transportation and a valid Class 5 Driver's License.
  • Acceptable attainment of a Police Information Check is required.
