Job description

Our Patient Access Specialist - Bilingual / Spanish will ensure positive and proactive communications with prospective and existing patients via inbound and outbound telephone calls and email. The communication should be aligned and with the focus on providing the best possible patient experience at all times. This position handles all new patient inquiries, obtains patient registration, and reports weekly and monthly data (inquiries and registrations) as requested.
Essential Responsibilities:
  • Timely answering of all telephone inquiries from potential new patients.
  • Delivers superior patient service on all inbound and outbound calls/contacts, emails, and/or chat sessions.
  • Instructs patients desiring new patient appointments to complete required registration forms (either by internet, email, fax, or mail).
  • Logs patient calls daily.
  • Routes registration forms to appropriate contact at each location and/or business office representative.
  • Maintains monthly log for new patient referral spreadsheet.
  • Mails new patient packet to potential new patients when requested.
  • Assists supervisor as needed.
  • Maintains patient confidentiality.
  • Other duties as assigned.

Knowledge and Skills
To perform this job successfully, an individual must be able to perform each essential responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills and/or abilities required. Soft skills must include empathy and compassion. Must be open to training to ensure the individual is the subject matter expert in proactive fertility care.
Education and/or Experience:
  • High School Diploma required
  • Bilingual (Spanish) strongly preferred
  • 1-2 years patient contact/scheduling experience
  • Demonstrated knowledge of HIPAA compliance and requirements
  • Ability to exhibit computer proficiency in Microsoft and EMR platforms and programs
  • Superior organizational and time management skills

Work Schedule: This position begins as a fully on-site role. Team members who demonstrate strong performance and reliability during their first 90 days will be eligible to transition to a hybrid work schedule, with the opportunity to work remotely on a part-time basis.
