NOW HIRING: PARTS & SERVICE ADMINISTRATIVE SPECIALIST

A growing distribution company is seeking a dependable and highly organized Parts & Service Administrative Specialist. This position supports the tools, parts, and service departments by coordinating repair activities, managing inventory, preparing customer quotes, processing orders, and communicating with customers and internal teams.

This is primarily an administrative customer service position with some time spent in the warehouse and tool-room areas. The ideal candidate is a team player who can manage multiple priorities in a fast-paced environment while maintaining accuracy and excellent customer service.

Key Responsibilities

  • Schedule service and tool-repair activities while balancing departmental workloads
  • Receive incoming tools and parts, verify descriptions and quantities against orders, and place items in designated locations
  • Log tools and other items received for repair or inventory and begin the tracking process
  • Prepare detailed customer repair quotes, including parts, labor, and other associated costs
  • Pull parts for service-order requests and invoice completed orders
  • Order and ship components to and from vendors
  • Replenish stock inventory and purchase parts needed for individual repairs
  • Maintain appropriate minimum inventory levels for commonly used parts
  • Communicate estimated completion dates, delays, and scheduling changes to customers, sales representatives, technicians, and other stakeholders
  • Process stock and non-stock orders for multiple warehouse locations
  • Enter accounts payable information for parts, tools, and machinery
  • Maintain accurate repair, purchasing, inventory, and service records
  • Keep the tool room clean, organized, and properly maintained
  • Collaborate with multiple departments to improve workflow and customer service
  • Perform additional administrative, inventory, and service-support duties as needed

Required Skills and Qualifications

  • Recent administrative, customer service, parts, inventory, purchasing, service, or order-processing experience
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel
  • Ability to type at least 45 words per minute
  • Proficiency using a 10-key numeric keypad
  • Strong attention to detail and accurate data-entry skills
  • Ability to interpret information, track activity, and generate reports
  • Experience with material handling or an understanding of warehouse operations
  • Ability to manage multiple assignments and changing priorities in a demanding environment
  • Strong organizational, problem-solving, and follow-through skills
  • Ability to work closely with others in a shared office environment with minimal distractions
