About Second Harvest

Second Harvest Food Bank of Central Florida is a member of Feeding America โ€“ the largest charitable domestic hunger-relief organization in the United States. SHFBCF secures and distributes food and grocery products to approximately 870 local nonprofit feeding programs throughout Central Florida. Last year, with the help of food and financial donors, volunteers and a caring, committed community, the food bank has distributed enough food for 82 million meals to partner programs such as food pantries, soup kitchens, womenโ€™s shelters, senior centers, day care centers and Kids Cafes. In addition, Second Harvestโ€™s 16-week culinary training program teaches foodservice-based technical, life and employability skills to economically hard-pressed adults. Job Summary

Under the direction of the Agency Relations Director, the Partner Agency Support Specialist will provide direct customer service support to our Partner Agencies and clerical support to our Agency Relations team. This position also interfaces with the Operations and Finance teams by directly supporting the agency shopping process as well as updating inventory and overseeing Partner Agency payments and grant management. This position will be the primary daily face to face contact for the over 300 agencies that utilize the Orlando warehouse to get their food and supplies to support their pantries. This position will answer questions, provide information and will refer agencies to their assigned Agency Relations Coordinators when necessary.


Work Hours

Monday-Friday 6:30 am-3:00 pm


Job Summary

Job Responsibilities

Communication and Customer Service

  • Serve as liaison and provide high-level customer service to existing and potential Partner Agencies and Community Partners
  • Coordinate and assist Partner Agencyโ€™s with shopping tasks and checkout, including lifting, carrying and moving boxes
  • Provide in-person support to Partner Agencies during their SHFB food shopping appointments inside warehouse
  • Manage Partner Agency orders using food bank software, update as necessary, determine correct payment amount, collect payments, apply discounts and print receipts
  • Confirm event, compliance and distribution information by phone and/or email
  • Support the shopping appointment process for Partner Agencies
  • Assist Operations with product placement and preparation for agency shopping appointments
  • Manage the Food Assistance Hotline and provide referrals to clients
  • Assist with the processing of community donations and food drives
  • Assists Operations Team by printing, confirming and finalizing agency orders
  • Assist Finance by processing and reporting payments daily

Record Keeping

  • Assist in maintaining detailed and accurate agency and community partner records and paperwork, including pertinent files for our USDA TEFAP (The Emergency Food and Assistance Program) contract
  • Assist in updating agency data using the food bankโ€™s database, Primarius
  • Ensure all shopping paperwork is prepared, tracked and finalized daily

Training and Special Events

  • Assist with registration and documentation of regular agency trainings and orientations
  • Support Second Harvestโ€™s Agency Council and regional quarterly agency gatherings
  • Help to support annual agency conference and networking event

Requirements:

Knowledge, Skills, Education and Experience Required

  • Associateโ€™s degree and/or two yearsโ€™ experience working in social services setting with administrative experience OR equivalent combination of education and experience
  • Comfortable working with people from diverse social and ethnic backgrounds
  • Comfortable working in both a warehouse environment and office environment
  • Demonstrated problem solving and critical thinking ability resulting in positive outcomes
  • Proven success with collaboration and teamwork
  • Commitment to alleviating hunger in Central Florida
  • High quality written and verbal communication skills
  • Proven ability to multi-task and thrive in a dynamic work environment
  • Ability to work independently, quickly and accurately and manage time well
  • Strong attention to detail and remain well organized
  • Ability to lift up to 20 pounds frequently
  • Ability to work standing up for long periods in an ambient warehouse environment with occasional work inside cooler and freezer
