Job Summary:

The Recruiting & HR Coordinator supports the Recruiting and Human Resources functions by assisting with job postings, interview scheduling, onboarding, pre-employment screenings, and employee documentation. This role helps ensure a smooth and professional experience for candidates and employees while supporting day-to-day Recruiting and HR processes.


The ideal candidate is organized, detail-oriented, able to manage multiple tasks in a fast-paced environment, and communicates professionally with candidates, employees, and management.


 This is a part-time remote position supporting operations across multiple time zones; therefore, work hours may vary based on business needs. Candidates must be flexible and responsive to changing priorities and scheduling demands. Bilingual candidates fluent in both English and Spanish are strongly preferred. Candidates MUST BE BASED IN THE U.S. and legally authorized to work without sponsorship. 


What you’ll do (including, but not limited to):

Recruiting Support

• Route Requisition Requests for approval/follow up when stuck in process

• Create new job postings in ATS

• Add new job postings to Project Management Platform for weekly reporting updates

• Refresh/repost positions as needed on job boards and in ATS

• Review applicants and schedule initial phone screens for Recruiter

• Send interview confirmations and reminders

• Assist with scheduling interviews and managing scheduling conflicts

• Send follow-up emails and status updates

• Send rejection communications when directed

• Answer basic candidate questions about process, scheduling, or next steps

• Update candidate statuses in the ATS

• Upload resumes and candidate documents

• Track interview feedback completion

• Initiate background checks and drug screens

• Follow up with candidates on any delays or issues with pre-hire screenings


HR Support

• Issue onboarding packets and new hire paperwork

• Track completion of onboarding requirements via Project Management Platform

• Coordinate I-9 and document collection

• Ensure all pre-hire documentation is complete before start date

• Communicate start details and first-day instructions

• Track referral submissions and payouts

• Process status changes and personnel updates

• Assist in preparing HR forms and correspondence

• Aid in tracking temporary labor hours

• Support associates with benefits paperwork and enrollment tracking

• Additional tasks and support as needed


Requirements

• High school diploma or GED required; Associate’s or Bachelor’s degree in Human Resources, Business, or related field preferred

• 1+ years of recruiting, or HR support experience required

• Strong organizational skills and attention to detail

• Ability to handle confidential information professionally and discreetly

• Strong written and verbal communication skills

• Proficient in Microsoft Office, including Outlook, Word, and Excel

• Experience with a Project Management Platform preferred; experience with Monday ideal

• Ability to manage multiple tasks and prioritize in a fast-paced environment

• Comfortable communicating with candidates, employees, and managers at all levels

• Ability to learn HR systems, applicant tracking systems (ATS), and onboarding platforms

• Bilingual English/Spanish highly preferred
