Job description

The Archdiocese of Kansas City in Kansas is the Catholic Church in Northeast Kansas: Growing as Disciples of Jesus; Making Disciples for Jesus, is seeking an Administrative Assistant. This position supports the mission of the Archdiocese by providing organized and detail-oriented administrative support to the Office of Real Estate and Construction. The Administrative Assistant assists with matters related to real estate transactions, construction projects, property management, and facility-related initiatives that advance the ministries and apostolic work of the Catholic Church. The position is part-time and will average 24 hours per week with work completed on-site within the Chancery office.
Duties and Responsibilities
• Mail notices for all property and contracts to appropriate parishes and schools.
• Answer calls, maintain calendars and schedule meetings.
• Coordinate, track and follow up on construction contracts.
• Apply for project exempt certificates.
• Maintain transaction documentation, track receipt of required documents, and organize and maintain physical and electronic files.
• Coordinate with Accounting regarding transaction-related payments, including coding and processing payment information as needed.
• Maintain property database to track all archdiocesan properties.
Knowledge, Skills and Abilities
• Excellent verbal and written communication, interpersonal, problem solving, time management and organizational skills.
• Ability to problem-solve.
• Must have strong attention to detail and ability to multitask.
• Ability to work independently and as a member of a team.
• Use all standard office equipment including telephone systems, copiers, fax machines, computers, printer and postage meter.
• Maintain confidentiality.
Qualifications
• High School Diploma or equivalent, required. Associate's degree or higher preferred.
• Minimum three (3) years' of administrative assistant or similar experience.
• Intermediate proficiency in in Microsoft Office Suite - Word, Excel, PowerPoint and managing network files and folders.
• Practicing Catholic in good standing helpful and preferred.
