Position Summary


The Administrative Assistant to the Director of Operations is responsible for providing high-level administrative support to Director of Operations. The Administrative Assistant will be responsible for preparing correspondence, completing reports, receiving visitors, arranging conference calls, scheduling meetings, and answering questions as they relate to Galman Properties.

Job Duties & Responsibilities

  • Document concerns, help in the resolution of property issues and keep the Director of Operations up to date with property deadlines, inspections and contracts.
  • Assist with special projects or tasks as needed.
  • Draft, edit letters, reports, and other documents.
  • Works with property managers and outside vendors to ensure property management concerns are addressed.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Input and update information in databases and spreadsheets.
  • Handling office tasks, such as filing, generating reports and presentations, setting up meetings, and reordering supplies.
  • Oversee and achieve organizational goals while upholding best practice
  • Assist with resident correspondence, needs and request.
  • Provide recommendations according to customer needs or preferences.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Coordinate internal and external resources to expedite workflow.
  • Assisting with billing needs.
  • Other duties as required.

Schedule

  • Part-time (24 hours a week, Monday, Wednesday & Thursday).
