We are seeking a Part-Time Receptionist and Site Manager for our Madison office. The ideal candidate is a polished, detail-driven professional who thrives on ownership, anticipates needs, and communicates with confidence and clarity. This collaborative, people-first candidate will be the welcoming face of the organization-seamlessly managing front office and reception operations while prioritizing tasks with precision and poise.
This is a part-time, on-site role located in Madison, WI. This role offers 25 hours per week during business hours which are 8:00 am - 5:00 pm, Monday through Friday.
What You'll Do
Responsibilities
Reception/Office
  • Greet and announce firm visitors in a friendly, welcoming manner
  • Answer incoming calls and direct to appropriate party
  • Maintain break room and schedule conference rooms
  • Establish building access for new advisors, sales assistants, WPFG personnel and guests
  • Prepare Welcome packets and prepare assigned workspace for new associates
  • Provide telephone and voicemail training to new firm personnel
  • Open and close the office at stated business hours
  • Sort and Distribute incoming mail including US mail, UPS, and FedEx
  • Sign for, receive, and distribute packages delivered to firm
  • Maintain office machinery and supplies including postage meter, photocopier, and other office machines
  • Notify building management of maintenance requests
  • Maintain firm lists for various departments
  • Assist with vendor management
  • Ensure day to day operations are prioritized according to client and advisor needs and deadlines
  • Participate in the operations department monthly meetings
  • Participate in the operations department goals and projects
  • Responsibilities may be added at the manager's discretion

Qualifications
  • High school diploma or equivalent, required
  • Associate or Bachelor's degree, preferred
  • Proficient in Microsoft Office with strong telephone and interpersonal communication skills
  • Highly organized, detail-oriented, proactive, and able to multi-task efficiently
  • 1+ years administrative experience; insurance experience a plus
