We believe in promoting from within and are looking for a detail-oriented, energetic Part-Time Aftermarket Administrative Assistant to support our growing Aftermarket and Accessories department. Job Summary:
As the Aftermarket Administrative Assistant, you will be the organizational backbone of our aftermarket department. You will handle essential clerical tasks, coordinate paperwork for vehicle upgrades (such as window tinting, lift kits, bed liners, and custom leather), and ensure seamless communication between our sales team, service technicians, and outside vendors. This is an ideal position for someone who is highly organized, thrives in a busy dealership environment, and wants a foot in the door at an established company with excellent long-term growth potential.
Key Responsibilities:
  • Data Entry & Invoicing: Accurately log aftermarket repair orders, process invoices, and update customer files in our dealership management system.
  • Scheduling & Coordination: Coordinate installation schedules with internal technicians and external vendors to ensure customer vehicles are ready on time.
  • Inventory Tracking: Help monitor stock levels of popular aftermarket parts and accessories, and assist with ordering replacements.
  • Sales Support: Assist sales consultants by preparing pricing quotes for custom accessory packages and verifying part availability.
  • Customer Service: Greet clients coming into the department, answer phone inquiries regarding upgrade statuses, and provide clear updates with a friendly demeanor.
  • General Clerical Duties: Maintain organized digital and physical filing systems, scan documents, and assist the department manager with daily administrative tasks.

Qualifications:
  • High school diploma or equivalent required.
  • Previous administrative, clerical, or data entry experience (dealership or automotive background is a huge plus, but not required).
  • Strong computer proficiency, including experience with Microsoft Office (Word, Excel) and an ability to quickly learn dealership software.
  • Exceptional organizational skills with a sharp eye for detail.
  • Excellent verbal and written communication skills.
  • Bilingual (English/Spanish) is not required, but is considered a major plus.
