We serve tens of thousands of people each year in seven ministries: Marisol Services, Early Childhood Education, Shelter Services, Catholic Charities Housing, St. Raphael Counseling, Family, Kinship, and Senior Services; and Parish & Community Engagement.

PURPOSE OF POSITION:

An Administrative Assistant at Catholic Charities:

  • Answers telephone, relays messages and greets clients/public and provides general program information and referral.
  • Schedules staff appointments.
  • Maintains filing system of closed case files, consultation intakes and all subscription materials completely, accurately and timely.
  • Maintains accurate and timely database entry system. Enter and updates data on client files. Retrieves statistical reports from database.
  • Creates new client profiles, completes intake for new clients, and sends checklist emails
  • Accepts service fees, issues receipts, and makes deposits according to established procedures.
  • Handles unexpected client communications
  • Works closely with CCD Receptionist to greet clients and potential clients
  • Assists in providing document translation services
  • Maintains office equipment, office supplies, and program accounting records
  • Participates in legal services workshops
  • Provides general administrative assistance to the Director and general services program attorneys
  • Assists in recruitment and training of volunteers
  • Orders and stores office supplies.
  • Processes incoming and outgoing mail.
  • Prepares professional letters, lists, memos and minutes.
  • Maintains fax machine, copier and photography equipment.
  • Provides copies of program materials, reports and professional articles.
  • Prepares billings for payment and maintains program accounting records.
  • Performs filings of legal documents to the Immigration Service and Immigration Court
Requirements:

QUALIFICATIONS

  • Bilingual in Spanish with written and verbal fluency required
  • Proficiency in Microsoft Office programs and Excel required
  • Strong interpersonal and written communication skills
  • Strong attention to detail and ability to work independently
  • Excellent time management and organizational skills
  • Ability to work with frequent interruptions
  • Ability to multitask in a fast-paced environment and work under competing deadlines
  • Knowledge of the service populationโ€™s cultural and socioeconomic characteristics and the appropriate techniques and practices for the client population.
  • Ability to interact effectively as a team member, independently with Agency staff, and with a diverse client base

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.


COMPENSATION & BENEFITS:

Salary: $20-23 per/hour

Training provided within the first year of employment includes: De-escalation & Safety; Mental Health First Aid; Substance Abuse & Mental Health; Human Trafficking; Trauma Informed Care; and many more.

  • Shift is Full Time (Monday-Friday)
  • Extensive Paid Time Off (4 weeks accrual for new employees - increasing based on tenure) promoting work life balance.
  • 15 Paid Holidays annually (shelters are 24/7, so if a holiday is worked, holiday pay is included.)
  • Sabbatical Leave Program: Employees who have completed seven years of continuous full-time service are eligible for a paid sabbatical leave to support rest, renewal, and professional or personal growth. Eligible staff may take 4 weeks of sabbatical leave.
  • 403b Retirement Plan with Agency contribution of 4% & match up to 2% of annual compensation.
  • Choice of 3 PPO Medical Plans (90% of employee's and 75% of dependentโ€™s premiums is paid by Agency), Dental, & Vision starting the 1st day of the month following start date.
