Job description

Position Summary

DSCBA is seeking a dependable, detail-oriented Finance and Administration Assistant to provide day-to-day support to the Director of Finance and Operations. This part-time, on-site role helps keep bill payments, donor records, office operations, and fundraising activities organized and moving forward. It is well suited to someone who enjoys accurate work, responsive communication, practical problem-solving, and supports a mission-driven team.

What You’ll Do

Accounts Payable and Administrative Support

· Review invoices for accuracy and completeness, obtain approval from the appropriate manager, and then process payments accurately and on time through the organization’s banking portal.

· Maintain supporting payment documentation and follow established approval, banking, and security procedures.

· Maintain organized financial records in OneDrive, including invoices, payment documentation, and credit-card receipts in the appropriate vendor and employee folders, for QuickBooks Online recordkeeping by the Director of Finance and Operations.

Donation Processing and Donor Stewardship

· Record and process donations accurately in Salesforce CRM from DSCBA website submissions, checks, employee-giving portals, and other sources.

· Review donation uploads at the close of each campaign and identify missing, duplicate, or inconsistent records.

· Coordinate with the Salesforce consultant to verify uploads from Classy, Greater Giving, and other fundraising platforms.

· Prepare and send timely donation acknowledgments, receipts, and thank-you notes.

Office Operations and Vendor Coordination

· Monitor office supply and equipment needs and place approved orders in a timely manner.

· Serve as a point of contact for property management and approved third-party vendors; track requests through resolution.

· Coordinate requests for Certificates of Insurance (COIs) with the organization’s insurance provider for programs and events.

Fundraising Events and Team Support

· Enter sponsorship, donation and ticket check payment information into Classy and Greater Giving.

· Coordinate gala and event deliveries in partnership with the events team.

· Prepare and submit post-event invoices to donors and track follow-up items.

· Support staff with events, activities, meetings, and special projects as needed.

· Participate actively in staff and leadership meetings as requested.
