Job description

POSITION TITLE: Front Desk Clerk - Part Time
DEPARTMENT: Parks and Recreation
DIVISION: Joyce Raye Patterson 50+ Activity Center
SALARY: $15.375 HR.
CLOSING: Until Filled

Job Summary/Scope
The Front Desk Clerk provides general clerical support, receiving visitors, managing phone calls, tracking inventory, performing cash handling, and designing electronic reports for the Joyce Raye Patterson 50+ Activity Center. As the first point of contact for our facility, the Front Desk Clerk plays a key role in making a positive impression on our patrons and visitors. A Front Desk Clerk serves as the face of our facility, handling the flow of people through the facility and ensuring that all clerk responsibilities are completed accurately, delivered with high quality, and in a timely manner.

Essential Duties and Responsibilities
  • Greets center patrons and provides exceptional customer service
  • Answers and handles incoming calls and interacts with the public. Provides general center information and processes referrals.
  • Performs clerical duties for the Joyce Raye Patterson 50+ Activity Center.
  • Designs professional electronic reports for the Joyce Raye Patterson 50+ Activity Center.
  • Assists Senior Account Clerk with daily reporting functions.
  • Assists Senior Account Clerk with scheduling facility rentals, activities, and events.
  • Assists Senior Account Clerk with developing, publishing, and distributing monthly schedules and menus.
  • Verifies fitness center member coverage with participating insurance company websites.
  • Takes and processes fitness center memberships and tracks member usage.
  • Provides tours of the facility.
  • Ensure front desk, shared administrative office, and lobby areas are neat, presentable, and equipped with all the necessary supplies.
  • Perform inventory operations for office supplies, janitorial supplies, and grocery items, including monitoring delivery of grocery wholesaler-delivered shipments.
  • Maintain records and files. Perform other clerical receptionist duties such as filing, photocopying, and transcribing.
  • Process payments and maintain accurate transaction records.
  • Assist Senior Account Clerk with adding activities and events to local online calendars and Facebook.

Other Duties and Responsibilities
  • Serves as backup for the Cooks Assistant in their absence.
  • Serves as backup for the Senior Account Clerk when needed.
  • Assists with various activities and events at the Joyce Raye Patterson 50+ Activity Center
  • Performs all other related duties as assigned.

Required (Essential) Knowledge, Skills, and Abilities
  • Skills in telephone etiquette, detailed record keeping, working with numbers.
  • Skills and Knowledge of computers and related programs, general office procedures, keyboarding, copy machine, and other various office equipment.
  • Knowledge and experience with money handling, accounting, and record keeping.
  • Extensive, demonstrated knowledge of Microsoft 365 applications (Word, Excel, PowerPoint, and Outlook) and online research.
  • Ability to learn all new software programs associated with the Joyce Raye Patterson 50+ Activity Center.
  • Ability to effectively communicate both orally and in writing.
  • Ability to provide excellent customer service to the public and fellow employees.
  • Ability to work flexible hours, which may include infrequent events or weekend shifts.
  • Ability to multitask and work in a fast-paced environment.
  • Valid driverโ€™s license preferred.

Material and Equipment Directly Used
Uses a variety of office equipment such as a computer and related software, copier, telephone, calculator, cash register, laminator, and other related equipment. There may be times when use of a personal vehicle may be required.

Working Environment/Physical Requirements
Work is generally performed in an office setting with a controlled environment. Will occasionally be required to work outdoors for snow removal and ice-melt distribution. Will occasionally be required to stand for long periods. Seldom needs to lift more than 10 to 20 pounds. Leave scheduling shall be requested of and approved by the appropriate supervisor.

Education
High school diploma or equivalent required. One or more years of experience or any combination of formal education and work experience, which provides the required knowledge, skills, and abilities
