POSITION SUMMARY:
The Education Services Division (ESD) of the Arizona Supreme Court is seeking an Administrative Assistant to perform a variety of administrative support duties in the coordination of statewide education projects and programs. This position will provide administrative support to the Division Director, perform essential functions for the management of the Division by handling and organizing routine division matters, including establishing and organizing division files, and those related to Division budget, coordinate travel arrangements and preparation of purchase orders.
This position will also compose and prepare both routine and complex correspondence, reports, agendas, lists, labels, and financial documents; oversee development and implementation of support procedures; maintain information and forms common to the Division including administrative orders, Committee on Judicial Education and Training (COJET) records, division lists, etc. Serve as liaison between Division Director with court community, AOC staff, ESD Managers, Specialists, and Support Staff, and coordinate applicant interviews and production of annual reports and special projects as designated by the Division Director.
Additionally, this position will schedule employment interviews. Prepare and process Committee and Board appointment packets and provide assistance to other division support staff as needed.
This position may be eligible for a hybrid-telework schedule once the employee has completed three (3) months of employment and has sufficiently proved their ability to perform assigned tasks.
Public Service Loan Forgiveness (PSLF) Program qualified employer.
MINIMUM REQUIREMENTS:
This position requires a high school diploma or GED and four years of increasingly responsible experience in a full-function office. Knowledge and skill using MS Word, PowerPoint, Excel, and Teams. Excellent grammar and proofreading skills, excellent oral and written communications skills and experience with business correspondence, reports, presentations, and documentation. Excellent organizational skills, and extensive knowledge of modern office practices and procedures.
This position also requires the ability to manage multiple tasks, projects, and administrative assignments simultaneously, effectively, and independently with minimum supervision, work and communicate effectively with staff, judges, the court community, and the public, and maintain confidentiality.
The preferred candidate will have knowledge of design and delivery of education programs, desktop publishing software, and knowledge of the Arizona Court system.
SELECTION PROCESS:
Applicants must be currently authorized to work in the United States on a full-time basis. Only applicants whose education, training and experience most closely meet the needs of the position may be invited to interview. The Selection Process may include computer testing (WORD, EXCEL, PowerPoint, Outlook, proofreading, typing, etc.) and first and/or second-round panel interviews. This is a regular, full-time, non-exempt position.
