Job Title: Worship Arts Administrative Assistant - Part Time
Department: Worship Arts Department, School of Ministry and Worship
Classification: Non-Exempt, Part-Time, Contracted
Reports to: Director and Chair, Worship Arts Department
Salary: $18.00-$20.00 per hour; 20 hours per week
North Central University Mission Statement:
North Central University is a dynamic Christian learning community educating students for lives of service throughout society, the marketplace, and the church. In keeping with its Pentecostal heritage and mission, NCU models and expects excellence in both academic practice and Christian faith.
Position Purpose:
The Worship Arts Administrative Assistant provides dual support to the Worship Arts Department by managing key administrative functions of the department's touring, recording, and ensemble programs. This position works closely with the Chair of Worship Arts to ensure Worship Live students receive excellent classroom and applied instruction, while department initiatives - including Worship Live Tours, WL Recording, and the NCU Worship Live/Chorale Tour - are planned and executed with excellence, integrity, and attention to detail.
Responsibilities include but are not limited to:

I. Administrative Services - Worship Live Tours & Choir Tour
  • Coordinate logistics for Worship Live Tours and the NCU Worship Live/Chorale
  • Maintain and reconcile tour budgets in coordination with the Chair, tracking expenses against approved departmental budget tools
  • Serve as a liaison with host churches, venues, vendors, and travel agencies
  • Prepare and manage travel documentation for domestic and international tours, including permission forms, passports/visas, travel insurance, and emergency contact records
  • Maintain tour rosters, packing lists, and safety/risk-management documentation for traveling students
  • Communicate itinerary details and updates to students, families, faculty, and university stakeholders
II. Administrative Services - Recording Releases & WL Recording
  • Coordinate studio scheduling, session logistics, and production timelines for WL Recording and other department recording releases
  • Serve as a communication liaison between engineers, musicians, producers, and outside vendors
  • Track project deliverables, deadlines, and budget line items for recording projects
  • Support release logistics, including metadata preparation, licensing documentation, and digital distribution coordination
  • Maintain organized digital archives of session files, mixes, and masters
IV. General Departmental Administration
  • Maintain department calendars and scheduling related to Worship Live, tours, and recording projects
  • Assist with departmental correspondence, meeting notes, and reporting to the Chair
  • Support Excel-based budget tracking for department funds, tours, and recording projects
Other duties as assigned.
Qualifications:
Minimum Education and Experience
  • Bachelor's degree.
  • Prior experience in collegiate or church-based worship ministry
  • Experience with event, tour, or administrative coordination preferred

Knowledge, Skills and Abilities
  • Maintain a personal relationship with Jesus Christ.
  • Ability to communicate the mission and vision of North Central University to prospective student-athletes.
  • Knowledge and ability of the use of technological resources including a wide variety of computer programs and applications.
  • Ability to work well with a variety of diverse personalities and departments.
  • Valid driver's license.
  • Ability to pass a background check upon hire and periodically during employment.
