Job Summary

We are seeking a reliable, organized, and detail-oriented Part-Time Office Assistant to provide administrative support to our Sales Department and office operations.

This position is ideal for someone who is comfortable working with computers, enjoys keeping information organized and accurate, and can manage a variety of administrative and clerical tasks. The Office Assistant will work closely with the Sales Department to maintain information in our ERP system, support customer and sales records, and assist with general office projects.

Schedule & Flexibility

This is a part-time position requiring a minimum of 24 hours per week, with the opportunity to work up to 30 hours per week.

We are flexible in determining a schedule that works for both the employee and the company. Examples may include:

4 days per week, 6 hours per day = 24 hours

5 days per week, 5 hours per day = 25 hours

5 days per week, 6 hours per day = 30 hours

Other mutually agreed-upon schedules within the 24โ€“30 hour range may be considered.

Key Responsibilities

  • Provide general administrative and clerical support to the Sales Department and office.
  • Prepare and send email communications and routine correspondence.
  • Enter, update, and maintain accurate information in the company's ERP system.
  • Add parts and related information to parts lists.
  • Update and maintain primary quote list.
  • Add, update, and maintain customer contact information.
  • Assist with customer and sales-related recordkeeping.
  • File and organize paper and electronic documents.
  • Scan, print, copy, and distribute documents as needed.
  • Perform data entry and maintain accurate records.
  • Assist with special projects and other administrative tasks as assigned.
  • Provide additional office support as needed.

Qualifications

  • Computer proficiency is required.
  • Ability to learn and effectively use an ERP system and other business software.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple tasks and changing priorities.
  • Strong written and verbal communication skills.
  • Dependable, professional, and able to work independently.
  • Comfortable performing routine administrative tasks while also taking on new projects.
  • Previous office, administrative, data entry, or ERP experience is preferred.

Education & Experience

  • High school diploma or equivalent preferred.
  • Previous administrative or office experience preferred.
  • Experience with ERP systems is a plus.
