Administrative Specialist (Part-Time, Onsite – Lansdale, PA)

The Opportunity

CMI is seeking a part-time Administrative Specialist to support our Lansdale, PA office. This role is ideal for a friendly, organized professional who enjoys juggling a variety of administrative responsibilities and serving as a key support resource for employees and clients.

Key Responsibilities

  • Provide general administrative and front-desk support, including handling incoming calls, mail, and shipments
  • Maintain office organization and cleanliness; coordinate with facilities management
  • Schedule meetings and coordinate catering
  • Order and manage office supplies and equipment inventory
  • Maintain timesheet information for assigned employees
  • Create and distribute training cards and certificates
  • Maintain company vehicles, appointments, and usage tracking
  • Prepare and distribute outgoing reports
  • Administer company equipment testing
  • Facilitate and maintain client badges on a quarterly basis
  • Edit and format documents as needed
  • Order and distribute business cards
  • Share internal communications, notifications, and employee recognitions
  • Assist with employee travel arrangements (air, hotel, car rental)
  • Provide support to Accounts Receivable with customer collections via email and phone
  • Run occasional errands for supplies, meals, or equipment delivery

Qualifications

  • 1–3 years of experience in an administrative or office support role
  • Accounts Receivable experience preferred, but not required
  • Experience with Deltek Vantagepoint is a plus
  • Strong proficiency in Microsoft Office and Adobe products
  • Excellent proofreading skills and attention to detail
  • Highly organized with the ability to multitask and shift priorities
  • Professional, approachable demeanor with strong interpersonal skills
  • Ability to handle sensitive or difficult situations with professionalism
  • Must be able to work onsite in Lansdale, PA, 3 days per week
