Position Overview:

The Data Entry Specialist supports the Quality team by maintaining and updating controlled documentation with a high degree of accuracy. This role focuses on the detail-oriented side of quality documentation: updating documents from existing templates, transferring information accurately across records, and ensuring paperwork is completed consistently and correctly. The Data Entry Specialist works closely with the Quality Specialist and Quality Director to keep documentation current, organized, and audit-ready in a fast-paced, regulated environment. Additional duties and projects are assigned as needed.


This is a part-time position of 20–30 hours per week with flexible scheduling.


Responsibilities:

  • Follows all company SOPs and Good Documentation Practices (GDP) when handling, updating, and maintaining controlled quality documents.
  • Updates and revises PDF documents and technical records based on established templates and standardized formats.
  • Accurately transfers and enters information across documents, forms, and quality records.
  • Reviews completed documents for consistency, formatting, and accuracy against source material.
  • Organizes and maintains document files so records are complete and easily retrievable.
  • Assists the Quality team in preparing and formatting documentation to internal standards and ISO conventions.
  • Flags discrepancies, missing information, or formatting inconsistencies for review.
  • Supports document preparation ahead of internal and external audits.
  • Engages, interacts, and responds in a prompt, accurate, courteous, and poised manner to encourage positive business relationships.
  • Consistently demonstrates a positive, constructive, and cooperative attitude in the business environment.

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree a plus.
  • 1+ years of data entry, administrative, or documentation experience, preferably in a regulated, healthcare, or medical device environment.
  • Exceptional attention to detail and a commitment to accuracy.
  • Proficient with Microsoft Office (Outlook, Excel, PowerPoint) and comfortable working with PDF editing tools.
  • Ability to work independently, follow established procedures, and maintain consistency across repetitive tasks.
  • Manages multiple documents and tasks simultaneously, prioritizes effectively, and keeps records orderly.
  • Strong written communication and organizational skills.
  • Comfortable working in a fast-paced, growing environment.
  • Ability to travel to up to 10% of the time in and out state.
  • Must maintain a valid drivers license and clean driving record.

Physical and Location Demands

While performing the duties of this job, the employee is regularly required to stand, walk, use hands to handle or feel, reach with hands and arms, stoop, kneel, and crouch. The employee is regularly required to sit and climb or balance and lift and/or move up to 50 pounds. The employee is regularly required to access and physically navigate the warehouse facility. The employee must have the ability to stand on-call based on a schedule determined by leadership and responsibility is shared amongst the team.
