Marathon Staffing is looking for an experienced Administration Specialist for the Town of Paradise Valley!

Part Time position 20 hours a week

$20 per hour

Minimal of 1 year of experience required. 


Key Responsibilities

General Administrative Duties

· Answer phones, emails, and direct inquiries to appropriate personnel.

· Maintain files, records, and databases (e.g., work orders, permits, employee schedules).

· Prepare and distribute correspondence, reports, and meeting agendas/minutes.

· Schedule meetings, inspections, and appointments.

· Order and maintain office supplies, uniforms.


Customer Service

· Respond to public inquiries and complaints related to services like trash pickup, road repairs, drainage issues.

· Log service requests and follow up with field staff for resolution.

· Communicate service interruptions or project updates to the public.


Support for Public Works Operations

· Assist with tracking work orders, service requests, and maintenance schedules.

· Lucity and GIS assets oversight

· Process permits, applications, and contractor documents (e.g., right-of-way permits).

· Assist in preparing and tracking departmental budgets and expenditures.

· Coordinate with vendors, contractors, and other municipal departments.

· Send notices of projects to the public (e.g., mailers, brochures)

Data Entry & Reporting

· Input data related to work orders, projects, inspections, and inventory.

· Prepare statistical and operational reports for supervisors and city officials.

· Maintain asset and equipment records.

Regulatory & Compliance Support

· Help ensure compliance with local, state, and federal regulations (e.g., OSHA, environmental rules).

· Maintain safety records, incident reports, and training logs.

Project & Procurement Assistance

· Assist Superintendents with preparing bid documents and procurement paperwork.

· Track project timelines, budgets, and vendor communications.


Technology & Systems Use
