Administrative Assistant

We are seeking an organized and detail-oriented Administrative Assistant to provide high-level administrative support and help ensure the smooth day-to-day operation of our office. This role supports the CFO and corporate team by coordinating schedules, managing records, processing invoices, and overseeing various administrative programs.

Key Responsibilities:

  • Process invoices and reconcile monthly billing statements
  • Coordinate company travel, expense reporting, and credit card programs
  • Manage company cell phone and fleet records
  • Prepare and distribute annual 1099 tax forms
  • Maintain business licenses and personal property tax records
  • Coordinate interpreter services and Zoom accounts
  • Organize meetings, events, and the CFO's calendar
  • Perform general administrative and office support duties as needed

Qualifications:

  • High school diploma required
  • 3-5 years of administrative assistant experience
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to maintain confidentiality and handle sensitive information
