Job description

We are seeking a detail-oriented and dependable Part-Time Accounts Payable / Accounting Assistant to support the accounting team for a portfolio of 33 hotel properties. This position is responsible for processing accounts payable transactions, maintaining accurate financial records, assisting with month-end accounting activities, and providing administrative support to ensure timely and accurate financial reporting.

Schedule

  • Part-time (20–30 hours per week; flexible schedule may be available)

Key Responsibilities

  • Process vendor invoices accurately and in a timely manner.
  • Match invoices with purchase orders and receiving documentation.
  • Verify coding and obtain appropriate approvals before payment.
  • Prepare and process weekly check runs and electronic payments.
  • Reconcile vendor statements and resolve discrepancies.
  • Maintain organized electronic and paper accounts payable files.
  • Communicate professionally with vendors and hotel management regarding payment inquiries.
  • Assist with credit card reconciliations and expense reporting.
  • Support month-end closing by preparing journal entries, account reconciliations, and other accounting schedules.
  • Assist with bank reconciliations and general ledger maintenance.
  • Maintain accurate records for multiple hotel entities and ensure compliance with company policies.
  • Assist with audits and provide requested documentation.
  • Perform other accounting and administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; Associate's degree in Accounting, Finance, or related field preferred.
  • Minimum of 2 years of accounts payable or general accounting experience.
  • Multi-entity or hospitality accounting experience is preferred.
  • Strong knowledge of accounting principles and accounts payable processes.
  • Proficiency in Microsoft Excel and Microsoft Office.
  • Experience with accounting software (hospitality accounting systems such as M3, ProfitSword, or similar is a plus).
  • Excellent organizational skills with strong attention to detail.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
