Administrative Support Coordinator

Position Summary:
The Remote Administrative Support Coordinator is a key member of our locally based team, providing comprehensive administrative support from a remote location. This position is responsible for managing incoming and outgoing phone calls, responding to organizational emails, and ensuring effective communication with staff, volunteers, donors, and community partners. The ideal candidate is detail-oriented, self-motivated, and thrives in a fast-paced, virtual environment.

Schedule and Compensation:

  • Work Hours: Monday – Friday, 9:00 AM – 4:30 PM
  • Pay Rate: $22.00 – $25.00 per hour, commensurate with experience

Responsibilities:
Essential functions and responsibilities include, but are not limited to:

  • Professionally answer and direct incoming calls using a remote phone system; take messages and ensure timely follow-up or hand-off as needed.
  • Place outgoing calls to donors, volunteers, and community partners as directed by team members.
  • Monitor, manage, and respond to incoming emails to the organization’s main inbox; draft, proofread, and send clear, professional correspondence.
  • Maintain accurate records of phone and email interactions in appropriate databases or tracking systems.
  • Schedule meetings, coordinate conference calls, and manage virtual calendars for staff and volunteers.
  • Prepare and electronically distribute meeting agendas, invites, and follow-up communications.
  • Order office supplies, marketing materials, or other resources and coordinate delivery to team members or partners as necessary.
  • Support data entry, maintain digital files, and run basic reports while ensuring confidentiality.
  • Provide virtual support for event coordination, including sending invitations and reminders, and tracking RSVPs.
  • Assist with onboarding and virtual coordination of volunteers as requested.
  • Uphold a high standard of customer service with a professional demeanor in all remote communications.
  • Other duties as assigned in support of office and team needs.

Key Educational/Professional Requirements:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • At least one year of remote administrative or customer service experience.
  • Excellent written and oral communication skills; strong grammar and attention to detail.
  • Experience managing phone and email communications in a professional setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and remote collaboration tools (e.g., Zoom, Teams, Google Workspace).
  • Strong organizational skills; ability to work independently and manage multiple priorities in a remote environment.
  • Reliable home internet connection and ability to maintain confidentiality while working remotely.
  • Bilingual (English/Spanish) skills are a plus.
  • Professional, courteous, and helpful presence in all interactions.
