Job description

ROLE We are seeking a General Clerk to support the United States Attorney’s Office, Eastern District of Michigan (USAO EDMI) in Detroit, MI. In this role, you will help keep the USAO EDMI office running smoothly by supporting front desk operations, meeting spaces, mail processing, supply tracking, facility coordination, visitor access, and general office logistics.

RESPONSIBILITIES
I. Administrative Support
  • Provide administrative support to the USAO with a variety of daily office and clerical tasks
  • Serve as a primary or alternate point of contact for front office administrative operations
  • Greet and assist visitors, contractors, vendors, and employees in a professional manner
  • Answer, screen, and route incoming telephone calls, correspondence, and office inquiries
  • Maintain visitor logs and coordinate visitor access procedures in accordance with office policy
  • Monitor shared administrative mailboxes and route requests to appropriate personnel
  • Deliver general administrative and clerical support to administrative staff and management officials
II. Meeting & Space Support
  • Maintain conference room readiness and assist with meeting coordination and logistical support
  • Support scheduling and coordination for conference rooms, training rooms, and shared spaces
  • Track facility calendars, coordinate reservations, and support space preparation needs
  • Prepare shared spaces for meetings, training events, and other operational activities
III. Facility Support
  • Coordinate facility support, maintenance, and office operations activities for USAO workspaces
  • Manage maintenance requests, vendor access, repair activities, and service calls as needed
  • Work with building management, GSA, contractors, and internal personnel as needed
  • Assist with office moves, furniture relocation, workstation setup, and space reconfiguration
  • Support logistical activities associated with personnel moves and organizational changes
  • Move, assemble, adjust, and arrange office furniture, equipment, supplies, and materials
  • Inspect office spaces, conference rooms, storage rooms, and common areas during walkthroughs
  • Identify operational issues requiring corrective action or maintenance support
IV. Inventory & Property Support
  • Conduct periodic inventories of furniture, equipment, supplies, and administrative property
  • Help maintain accountability and operational readiness for office property and materials
  • Identify excess furniture, equipment, and materials for transfer or disposal
  • Support property accountability through inventory records and assigned equipment tracking
  • Prepare items for disposal or transfer in accordance with established policies
V. Fleet Vehicle Support (as needed)
  • Serve as primary or alternate coordinator for Government-owned or leased fleet vehicles
  • Assist with scheduling maintenance, tracking vehicle usage, and coordinating repairs
  • Maintain vehicle records and support applicable GSA and agency vehicle requirements
VI. Supply & Delivery Support
  • Assist with tracking, receipt, storage, distribution, and inventory of office supplies
  • Receive and verify deliveries of supplies, furniture, equipment, and other materials
  • Coordinate with procurement personnel, vendors, and supervisors regarding delivery issues
  • Report discrepancies, damaged items, incomplete shipments, and related delivery concerns
  • Maintain supply rooms, storage areas, and inventory locations in an organized manner
  • Track inventory levels and identify supply requirements requiring replenishment
  • Provide logistical support to procurement and supervisory staff regarding supply needs
  • Coordinate movement of supplies, furniture, equipment, and materials throughout office areas
VII. Mail Processing
  • Assist with receipt, sorting, processing, distribution, and dispatch of mail and packages
  • Follow District policy for mail, overnight mail, and related mail processing procedures
  • Monitor the use of overnight shipping services in support of District mail operations
VIII. Security & Access Support
  • Assist with administrative security and access control activities for the office
  • Coordinate keys, access cards, visitor access, and related administrative functions
  • Support office security procedures and applicable facility access and security policies
  • Report safety, security, facility, and operational concerns to supervisory staff as needed
REQUIRED KNOWLEDGE, ABILITIES & SKILLS
  • Valid State-Issued Driver’s License
  • Knowledge of administrative operations, office procedures, facility support, logistics, and supply support
  • Knowledge of mail operations, records management, inventory accountability, and customer service functions
  • Ability to use or learn Microsoft Office Suite (e,g.,Outlook, Word, Excel, PowerPoint, and Teams)
  • Ability to use or learn Adobe Acrobat (e.g., PDF conversion and the Tools option)
  • Ability to operate office equipment, including computers, fax machines, copiers, and mail metering machines
  • Skill in preparing correspondence, reports, inventories, tracking logs, and administrative documentation
  • Ability to provide professional customer service while exercising sound judgment and discretion
  • Ability to deliver quality work under pressure, manage competing priorities, and multitask assignments
  • Good communication and organizational skills

REQUIRED EXPERIENCE
  • 1–2 years minimum experience in an administrative or legal setting

EDUCATION
  • High school diploma required
  • Undergraduate degree preferred

PHYSICAL REQUIREMENTS
  • Must lift, carry, move, and reposition office furniture, supplies, equipment, and records
  • Must move operational materials weighing up to 80 pounds, with or without assistance
  • Work requires sedentary desk work and regular physical activity for administrative operations
  • Duties require standing, walking, bending, kneeling, crouching, reaching, and carrying materials
  • Work requires movement throughout office and storage areas
  • Work may require hand carts, dollies, and basic material handling equipment
  • Physical work may support office moves, furniture reconfiguration, and inventory activities
