About the Role:
The Expo Projects Coordinator will be a key player in the successful execution of multi-year Expo projects, ensuring that all aspects are well-organized, efficiently managed, and effectively communicated. This role involves maintaining records, scheduling, preparing presentations, and providing support for special projects. The ideal candidate will be a proactive and detail-oriented professional with excellent organizational and communication skills, capable of managing multiple tasks and interacting with various stakeholders.
Key Responsibilities:
 
  • Records Management: Maintain comprehensive records for multi-year Expo projects to ensure information is organized, accessible, and up-to-date.
  • Administrative Support: Schedule meetings, take detailed meeting notes, track clearances, maintain contact databases, and update project documents using project management tools and techniques.
  • Communication & Outreach: Assist in preparing presentations and social media outreach, including familiarity with blogging and platforms like Twitter.
  • Project Updates & Special Events: Prepare weekly project updates, assist in planning special events, and conduct special projects under the guidance of Expo Unit staff.
  • Liaison Duties: Serve as the Expo Unit liaison to the Global Partnerships Office, assisting with the vetting of potential donors and managing the gift acceptance memo process.
  • Backup Support: Provide administrative support as a backup to the administrative assistant when needed.

Qualifications:
 
  • Education: Bachelor’s Degree required.
  • Experience & Skills:
    • Familiarity with U.S. public diplomacy policy and goals.
    • Proficiency in project management tools and techniques.
    • Experience with SharePoint, blogging, and social media platforms (e.g., Twitter).
    • Ability to interact effectively with individuals at various levels, providing advice, information, and assistance.
    • Strong organizational skills with the ability to plan, prioritize, and manage multiple assignments with tight deadlines.
    • Excellent written and oral communication skills, with the ability to draft a variety of documents and establish and maintain professional relationships.
