ABOUT BIG OUTDOOR

BIG Outdoor is a premier out-of-home media company specializing in digital spectaculars, hand-painted walls, billboards, kiosks, and experiential advertising in some of the country's most iconic markets. We partner with leading brands, agencies, developers, and municipalities to create impactful advertising experiences. We are looking for a motivated, detail-oriented Operations Coordinator to support our growing national portfolio.


POSITION SUMMARY

The Operations Coordinator will support the COO and Directors of Operations in the day-to-day execution of advertising campaigns and development projects across the country. A primary responsibility is managing BIG Outdoor's Proof of Performance (POP) process so the Sales team receives accurate, organized, and timely campaign documentation for clients. The role will also support installations, vendor coordination, maintenance, inventory tracking, and other operational initiatives across our national portfolio.


KEY RESPONSIBILITIES


Proof of Performance (POP) Management - Primary Responsibility

·    Review, organize, and quality-check Proof of Performance (POP) photos each week from markets across the country.

·    Confirm that campaigns were installed correctly and that photography meets BIG Outdoor quality standards.

·    Coordinate with photographers, installers, and operations teams to obtain missing or corrected photos.

·    Organize POPs by client, campaign, market, and asset for easy retrieval.

·    Prepare and submit completed POP packages to the Sales team on schedule.

·    Maintain an organized digital photo library and archive.

·    Research and interview potential photographers as needed.

·    Help improve and automate the POP workflow as BIG Outdoor grows.


Campaign Operations

·    Coordinate billboard and digital campaign installations, removals, and copy changes.

·    Track campaign launch dates, completion dates, and project milestones.

·    Assist with project timelines and vendor coordination.

·    Escalate installation, photography, or scheduling issues that could affect client deliverables.


Vendor and Project Coordination

·    Communicate with installers, photographers, electricians, fabricators, and maintenance vendors nationwide.

·    Obtain vendor quotes and track maintenance requests and open work orders.

·    Support permitting, construction, and development projects as assigned.


Administrative and Cross-Functional Support

·    Maintain inventory spreadsheets, operational trackers, and project documentation.

·    Prepare internal reports and assist with proposal coordination.

·    Work with Sales and other departments to complete affidavits and other campaign documentation.

·    Support special projects and process improvements.


Qualifications

·    1-3 years of experience in operations, project coordination, logistics, construction, administrative support, or a related field.

·    Bachelor's degree preferred, but not required.

·    Highly organized with exceptional attention to detail.

·    Strong written and verbal communication skills.

·    Comfortable managing multiple projects and deadlines simultaneously.

·    Self-motivated, resourceful, and eager to learn.

·    Proficient with Google Workspace, including Sheets, Docs, Drive, and Gmail, as well as Microsoft Office.

·    Ability to travel occasionally.


Preferred Qualifications

·    Experience coordinating vendors, contractors, photographers, or field teams.

·    Familiarity with project management or workflow software.

·    Experience in advertising, media, construction, commercial real estate, or marketing.

·    Ability to review a high volume of photos and documentation while maintaining accuracy.

·    Ability to identify installation issues, incorrect creative, or poor-quality photography before materials reach clients.

·    Graphic design or photo-editing skills are a plus, but not required.
