ENTEK is excited to welcome an Order Desk Parts Specialist Level I to our team. In this role, you will support internal and external customers by accurately processing quotes, sales orders, purchase orders, and related documentation while collaborating with vendors and cross-functional ENTEK teams to deliver timely, accurate service.
 What You’ll Do 


As an Order Desk Parts Specialist Level I, you will provide timely and accurate support to internal and external customers by managing routine quoting and order processing activities. Working from a shared Order Desk queue, you will respond to customer requests, prepare and issue quotes, enter and manage sales orders, and ensure order details are accurately maintained within the ERP system. You will review engineered drawings to identify part requirements, determine whether items are manufactured, fabricated, or purchased, and verify pricing and delivery information to support accurate customer quotations. In this role, you will proactively communicate order updates, confirmations, and delivery changes to customers while collaborating with vendors and cross-functional ENTEK teams to address customer needs. You will also create new part numbers when required, support accurate financial reporting through proper project classification, identify opportunities for alternative material solutions, and escalate complex issues as needed. Success in this position requires strong attention to detail, excellent communication skills, a customer-focused mindset, and a commitment to delivering exceptional service.

In this role you will:

  • Performs routine order desk tasks using established processes, documented procedures, and available tools.
  • Works with guidance on non-routine requests, complex customer needs, pricing questions, part-number issues, and exceptions.
  • Builds working knowledge of ENTEK part nomenclature, ERP processes, quoting practices, order entry requirements, and customer communication standards.
  • Demonstrates reliability, accuracy, responsiveness, and professional communication while developing independence in the role.
  • Progression readiness is demonstrated through consistent accuracy, reduced need for guidance on standard tasks, timely follow-up, appropriate escalation, and the ability to support a broader range of order desk responsibilities.

Job Duties: (The job may include other responsibilities and duties not listed below.)

  • Work from a shared Order Desk queue to respond to routine requests from third-party and internal customers, following established priorities and service expectations.
  • Translate routine requests for quotes (RFQs) into ENTEK nomenclature and prepare quote information for review or processing.
  • Access customer’s engineered drawings to facilitate accurate part information.
  • Determine whether items are manufactured, fabricated or purchased. 
  • Review pricing information in the ERP system for timeliness and accuracy; escalate exceptions or request updated vendor price and delivery information when existing information falls outside target criteria.
  • Issue accurate quote documents to customers.
  • Calculate pricing for purchased parts based on cost and defined applied margin. 
  • Create new part numbers in ERP System when required. 
  • Enter customer purchase order details into the ERP system with a high level of accuracy, ensuring special handling requirements are documented and communicated according to established procedures.
  • Send timely order confirmations to customers.
  • Track orders and proactively communicate delivery delays, order updates, and other relevant information to customers.  
  • Identify potential alternative materials of construction (MOC) and escalate for review when alternatives may help expedite orders or support the use of available inventory.
  • Correctly identify and utilize appropriate Project Types to support accurate financial reporting. 
  • Escalate customer needs when additional support or guidance is required.
  • Assist with hospitality and coordination for customer visits as needed.
  • Receive, respond to, compose, and send professional emails in a timely manner.

Minimum Qualifications & Experience:

  • High school diploma or GED required; additional coursework or training in business, manufacturing, customer service, or related fields helpful.
  • Ability to learn to read, analyze, and interpret business documents, drawings, purchase orders, and related information.
  • Basic mathematical skills, including addition, subtraction, multiplication, and division.
  • Ability to identify routine problems, gather relevant information, ask appropriate questions, and escalate issues when guidance is needed.
  • To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
  • Basic proficiency with Microsoft Office applications, including Excel, Word, and Outlook, with the ability to learn ENTEK systems and processes.
  • Strong written and verbal communication skills with customers and ENTEK employees, including excellent listening skills in person, by phone, and through video conference.
  • Positive teamwork attitude and willingness to collaborate across departments.
  • Displays the attitude and understanding that “Our business begins and ends with our customer.”
  • Demonstrated understanding of customer service, including the ability to respond promptly to inquiries, gather and research information, provide clear follow-up, and confirm customer understanding and satisfaction.

Preferred Qualifications & Experience:

  • A working knowledge of Microsoft AX or similar ERP software.
  • Prior experience in manufacturing, quoting, order entry, customer service, purchasing support, or preferred related function.
  • Ability to travel when required.
