Job description

The Operations Support Specialist is responsible for supporting daily operational functions within the EventWorks full-service event rental environment. This role plays a critical part in maintaining inventory accuracy, managing internal transfers, processing purchase orders, and providing administrative and dispatch support during peak business periods.
This position is primarily office-based but requires regular interaction with warehouse operations to verify inventory, support order accuracy, and ensure seamless coordination between departments. The Operations Support Specialist must be highly organized, detail-oriented, and capable of working efficiently in a fast-paced, high-volume environment.

Key Responsibilities
  • Maintain accurate inventory records for all rental equipment including tents, linens, tables, chairs, and event assets.
  • Create, manage, and track internal inventory transfers between warehouses, departments, and event orders.
  • Generate and manage purchase orders, ensuring timely ordering and accurate documentation of incoming inventory.
  • Monitor inventory levels and proactively communicate shortages or replenishment needs.
  • Assist with cycle counts, physical inventory audits, and reconciliation of discrepancies.
  • Investigate and resolve inventory variances, working cross-functionally with warehouse and operations teams.
  • Verify order accuracy and support equipment readiness for upcoming events.
  • Provide dispatch support during peak seasons, assisting with scheduling coordination, routing adjustments, and communication with field teams.
  • Maintain accurate records and reporting within inventory and ERP systems.
  • Collaborate with warehouse, dispatch, and operations teams to ensure smooth and efficient workflow.
  • Occasionally walk the warehouse floor to validate inventory, inspect equipment, and support operational needs.
Requirements
Qualifications
  • 1-3 years of experience in inventory control, warehouse operations, logistics coordination, or a related field.
  • Strong attention to detail with a high level of accuracy in data entry and recordkeeping.
  • Highly organized with the ability to manage multiple priorities and deadlines.
  • Proficiency in basic computer systems and inventory or ERP software.
  • Strong communication skills and ability to collaborate across departments.
  • Ability to work in a fast-paced, team-oriented environment.
  • Comfortable working in both office and warehouse settings as needed.
Preferred Experience
  • Experience in the event rental or logistics industry.
  • Familiarity with inventory or ERP systems such as IntelliEvent, Point of Rental, RentalWorks, or Goodshuffle.
  • Experience creating purchase orders and managing vendor relationships.
  • Exposure to dispatch operations or transportation coordination.
Physical Requirements
  • Must be able to walk through warehouse spaces and navigate aisles and storage areas.
  • Ability to occasionally lift and carry items up to 50 lbs when assisting with inventory or transfers.
  • Ability to bend, reach, and stand for extended periods while performing inventory or warehouse support tasks.
  • Comfortable working in varying warehouse conditions, including temperature changes.
