Role Description


This is a full-time hybrid role for an Executive Assistant based in Vancouver. The Executive Assistant will serve as a trusted partner to the CEO and senior management, ensuring smooth day-to-day execution across scheduling, travel, communications, events, and special projects. This role requires exceptional organization, discretion, and the ability to operate with autonomy in a fast-paced environment.


Core Responsibilities


  • Executive Calendar Coordination: Coordinate schedules and meetings for the CEO and senior management across multiple time zones while ensuring efficient prioritization of time and business activities.
  • Travel & Itinerary Management: Manage complex domestic and international travel arrangements, including flights, hotels, transportation, visas, restaurant reservations, and detailed itineraries for conferences, client meetings, and business trips.
  • Executive Operations Support: Act as a strategic support partner to the CEO and senior management, helping prioritize tasks, coordinate initiatives, and ensure smooth day-to-day business execution in a fast-paced environment.
  • Stakeholder & Relationship Management: Manage communications and follow-ups with clients, banking partners, investors, vendors, and strategic partners.
  • Marketing & Brand Coordination: Support execution of marketing initiatives, LinkedIn/social media coordination, light design of brand and marketing assets, website updates, and external brand presence.
  • Event & Conference Management: Coordinate and host logistics for conferences, investor events, client dinners, networking events, and company meetings, including registrations, materials preparation, scheduling, and follow-ups.
  • Project & Operational Coordination: Track action items, deadlines, and deliverables across teams. Support execution of operational, administrative, and strategic projects across the business.
  • Content & Presentation Support: Assist with preparation of presentations, pitch decks, executive briefings, marketing materials, and internal documentation.
  • Financial & Administrative Support: Assist with expense tracking, invoice management, vendor coordination, document organization, and general business administration.


Qualifications


  • 3โ€“6 years of experience as an Executive Assistant or in a comparable role supporting senior leadership, ideally in a fast-paced or founder-led environment.
  • Exceptional organizational skills and attention to detail, with the ability to manage competing priorities and streamline workflows effectively.
  • Excellent Interpersonal and Communication skills for liaising with team members, executives, and external clients and partners.
  • Proven discretion and sound judgment in handling confidential and sensitive information.
  • Experience coordinating complex travel, events, and executive calendars across multiple time zones.
  • Familiarity with social media coordination and light design tools (e.g., Canva, Figma, etc) for brand and marketing support.
  • Proficiency with relevant software tools and familiarity with the cryptocurrency or financial technology sectors is a plus.
  • Bachelor's degree in Business Administration, Operations Management, or a related field is preferred.
