Assistant Manager,VSMFinancial Operations

Primary Responsibility

  • Support the Financial Operations Manager, National Manger and overall VSSM team withvariousaspects of theGMCC Marketing financialprocessesfor both National and Region Retail requirements

  • Act as a key point of contact for theFinancial Operations teamwith respect today-to-day financial tasks, transactions,reporting and analytics,monthly and year end tasks including journal entries

  • Financial modeling/solution development and implementation to maximize marketing budgetutilizationwithinGMCCrules

  • Participateinprocess improvement development

  • Ad hoc analysis of various parts of the business, audits,vendorand stakeholder budget oversight

Budget Operations & Accounting

  • Gathering and reviewingbudgetcontrolreports frommultiple teams(15-20)for analysis and monthlytransactions,engaging theNationalFinancial Operations Managerfor any issues

  • In collaboration with Fin Ops team produce highlyaccuratemonthly,quarterly,and annual budget reports and forecasts for multiple stakeholdersand departmentsin multiple currencies/templates

  • Develop new reporting and dashboards for continuous share of information with the stakeholders and leaders

  • ParticipationinMonth/Yearend tasks including but not limited to reconciling and balancing accounts, preparing, reviewing, and posting journal vouchers

  • Understanding existing accounting structure and its Brand and Corporate complexities

  • Inter-Company Transferand other complex entries to provide business solutions to the stakeholders

Invoicing,Estimates,Purchase Orders

  • Oversee the estimate and invoice processing byteam,

  • Provide guidance on account numbersandbudgetselection,reconcilinginformationentered intotheMarketingdatabaseand related budget reports

  • Act as back-up forteam memberstocreatepurchase orders

  • Create manualdebit and credit invoicesasrequired- provide team direction to execute payments

  • Audit invoices, purchaserequisitionsand advertising estimates to ensure information is complete, correct, and meets company criteria

  • SupportVendor & Agency relationship management including contract management, renewals, issue resolution, special assignments engaging with procurement for successful outcomes

  • Liaisewith purchasing and tax to ensurePO'sare set up properly with the correct contract numbers, account numbers, and tax requirements

  • Liaise withRTR/RTP (internal request to report/pay teams)toidentifyand resolve escalating system issues and accounts payable system upgrades(includingsystemmigration issues)

Ad Agency and Supplier Management

  • Supportadvertising agenciesof record (AOR) finances and budgets- roll up and stakeholder level

  • Act as primary point of contact for onboarding, training, invoice issue resolution and escalationfor various stakeholders, review budget reconciliation reports (BCR) and reconcile records to ensure BCR and GM database align

  • Hostbudgetmeetings/callsasrequiredto ensure thatpartnersstay within budget,liaising with Financial Operation Manager monthly on all budgets

Procurement

  • Assistrelevantstakeholders/managers with end-to-end procurement process

  • Assiststakeholders/managers/agencieswithpreparationand approval ofsourcing documentation

Required Skills:

  • Microsoft Applications:Access,Excel, Word, PowerPoint,otherdatabase knowledge an asset

Compensation

The salary range for this role is $76,100.00 to $114,300.00. The actual base salary a successful candidate will be offered within this range will vary based on factors relevant to the position.
