What you will do:

The Sales Operations Assistant supports the successful execution of customer orders by coordinating activities between Sales, Purchasing, Warehouse, Delivery, and customers. This role manages order entry, pricing, backorders, material availability, purchase order coordination, delivery requirements, and customer communication to ensure orders are fulfilled accurately and on schedule. The Sales Operations Assistant also supports larger and more complex customer projects by helping forecast material requirements, monitor lead times, and coordinate inventory availability. The ideal candidate is highly organized, customer-focused, detail-oriented, and comfortable managing multiple priorities in a fast-paced building materials environment.

Order Management & Sales Support
  • Enter, maintain, and update customer orders accurately within company systems
  • Prepare customer quotes and assist Sales Representatives with pricing and order-related requests
  • Review pricing on shipped orders to ensure alignment with quoted pricing or determine appropriate pricing for non-quoted materials
  • Partner with Sales Representatives to resolve pricing questions, order discrepancies, and customer concerns
  • Support order changes, partial shipments, backorders, and other customer fulfillment requirements
  • Maintain accurate order information and documentation throughout the fulfillment process
Customer & Delivery Coordination
  • Coordinate customer deliveries, including delivery dates, times, quantities, equipment requirements, and other job-specific needs
  • Communicate with customers regarding order status, product availability, backorders, delivery schedules, and changes
  • Prioritize time-sensitive materials and communicate customer requirements to internal teams
  • Coordinate with Delivery and Operations teams to ensure orders are scheduled appropriately
  • Proactively identify potential fulfillment issues and communicate solutions to customers and Sales Representatives
Purchasing & Backorder Coordination
  • Coordinate with Purchasing regarding backordered products, partial deliveries, and expected material availability
  • Monitor incoming purchase orders and vendor lead times to support customer delivery commitments
  • Follow up with Purchasing regarding vendor availability and expected fulfillment dates
  • Coordinate incoming material with customer schedules and project requirements
  • Check inventory availability and communicate replenishment needs to Purchasing
  • Help identify alternative solutions when required materials are unavailable or delayed
Project & Material Planning
  • Partner with Sales Representatives to forecast material requirements for upcoming customer projects
  • Monitor lead times and inventory availability for large, complex, or high-priority projects
  • Help determine when materials should be ordered to ensure products are available when customer projects require them
  • Coordinate phased material requirements for projects that cannot be stocked or delivered at one time
  • Maintain awareness of project schedules and proactively communicate material or supply concerns
  • Prioritize large or time-sensitive projects while continuing to support daily customer orders
Warehouse & Inventory Coordination
  • Coordinate with Warehouse personnel to verify materials are received, counted, and in sellable condition before shipment
  • Confirm product availability and inventory status for customer orders
  • Communicate damaged, missing, or incorrect materials to Purchasing, Sales, and Operations
  • Support accurate material staging and order fulfillment
  • Help resolve inventory discrepancies that may impact customer orders or delivery schedules
Cross-Functional Support
  • Serve as a liaison between Sales, Purchasing, Warehouse, Delivery, Operations, vendors, and customers
  • Maintain clear and timely communication regarding customer priorities and order requirements
  • Escalate customer or operational concerns to the appropriate Sales Representative or manager when necessary
  • Support continuous improvement initiatives that increase order accuracy, customer satisfaction, and operational efficiency
  • Perform additional duties and projects as assigned

  • High school diploma or equivalent required
  • Previous experience in sales support, order management, customer service, purchasing coordination, or operations preferred
  • Building materials distribution or construction supply experience strongly preferred
  • Knowledge of building materials, inventory, purchasing, and delivery operations is a plus
  • Experience supporting large or multifamily construction projects preferred
  • Experience using ERP, point-of-sale, inventory management, or order-entry systems preferred
  • Proficiency with Microsoft Office applications, including Outlook and Excel
  • Work is performed primarily in an office or sales environment within a branch, warehouse, or building materials facility
  • Frequent communication with customers, vendors, Sales Representatives, Purchasing, Warehouse, Delivery, and Operations personnel
  • Regular computer and telephone use throughout the workday
  • Ability to sit or stand for extended periods
  • Occasional visits to warehouse, yard, or loading areas may be required
  • Ability to wear required PPE when entering operational areas
  • May require extended hours based on customer, project, or operational needs
