Job title: Office Operations & Facilities Coordinator

Job location: Lafayette, LA (With remote collaboration across the Southeast Region)

Job Overview

The Southeast Region Administrative Team serves as a critical support function for our employees, customers, and regional leadership. In this role, you will deliver consistent, high‑quality administrative support, ensure smooth daily office and warehouse operations, enhance the local employee experience, and strengthen customer relationships across the region.

Operating as the primary onsite anchor for our Lafayette, LA location, you will act with a high level of professionalism, discretion, and autonomy, balancing local facility workflows with broader regional objectives.

 Key Responsibilities
  • Serve as the main point of contact for the Lafayette, LA location while collaborating closely with the Senior Team Assistant for the MSY Area in Gulfport, MS.

  • Coordinate new hire onboarding processes and manage computer equipment and IT service requests as needed.

  • Support fleet vehicle coordination and manage related regional compliance processes.

  • Act as a trusted point of contact for area employee inquiries, providing guidance on internal policies and resources.

  • Manage the frontline phone system environment, professionally assisting callers and routing inquiries efficiently to ensure timely resolution.

  • Pick up, distribute, and manage daily mail, correspondence, and mechanical parts distribution.

  • Coordinate corporate UPS, FedEx, and courier services, ensuring the timely handling of sensitive and priority materials.

  • Organize and support local employee engagement initiatives, managing materials, catering needs, and office refreshments.

  • Oversee warehouse logistics, shipping and receiving tasks, and inventory organization.

  • Research unidentified packages received at the facility and promptly notify the responsible project personnel.

  • Manage local vendor contracts for coffee services, pest control, janitorial services, shredding, and first-aid suppliers across designated regional locations.

  • Lead structural renewals, office remodels, and facility projects for both the office spaces and adjacent warehouse areas.

  • Utilize Microsoft Office Suite tools, including Outlook, Word, Excel, PowerPoint, and Copilot, to drive administrative efficiency.

  • Adapt quickly to internal digital tools and leverage SAP systems to support daily supply chain and facility workflows.

  • Collaborate cross-functionally with team members to support new regional initiatives and local business needs.

  • Experience: 3+ years of experience combining office administration with hands-on facilities, warehouse coordination, or logistics support.

  • Technical Proficiency: Strong working knowledge of the Microsoft Office 365 environment (including Excel and Outlook); prior hands-on experience navigating SAP is a strong plus.
