This is much more than an administrative role. You will be the first impression of the South Tampa Chamberโ€”welcoming members, visitors, partners, and community leaders and helping ensure every interaction reflects the professionalism, energy, and spirit of our organization.

Position Objective


The Administrative & Operations Coordinator provides essential administrative and operational support to the South Tampa Chamber while creating an exceptional experience for our members, visitors, volunteers, and community partners.


As the first impression of the Chamber, this role serves as a welcoming and helpful point of contact in person, by phone, email, and digital communication. The ideal candidate brings energy, positivity, and professionalism to the office and understands that every interaction is an opportunity to build relationships and strengthen our member experience.


Key Responsibilities


Be the First Impression of the Chamber

  • Enthusiastically welcome and assist members, visitors, guests, volunteers, and community partners.
  • Respond to phone calls, emails, website inquiries, and in-person requests with professionalism and a helpful attitude.
  • Provide information about Chamber programs, events, membership benefits, and the South Tampa and Greater Tampa community.
  • Ensure every interaction creates a positive first impression.


Support Membership & Business Operations

  • Assist Chamber members with questions, requests, account updates, and general needs.
  • Maintain accurate membership records and related statistics.
  • Prepare invoices for memberships, sponsorships, advertising, and member services.
  • Prepare billing statements for monthly membership renewals and assist with collection procedures as directed by the Membership Manager.
  • Support new member and sponsor materials, mailings, and other membership-related projects.


Keep the Office Running Smoothly

  • Maintain organized files, office records, supplies, equipment, and inventory.
  • Order and restock office supplies and assist with keeping the office welcoming, organized, and professional.
  • Receive and sign for deliveries and assist with general office operations.
  • Serve as a first point of contact for routine office, facility, and technology needs and coordinate with the appropriate staff or vendor when needed.


Provide Administrative & Financial Support

  • Perform light bookkeeping, including accounts payable and accounts receivable.
  • Assist with payment processing, deposits, and other routine financial tasks.
  • Support the President & CEO with administrative projects, research, scheduling, correspondence, and other assignments as needed.
  • Assist with agendas, materials, and logistics for Chamber boards, committees, and meetings.


Support Chamber Events & Programs

  • Assists with Chamber events as needed which may include: helping at registration desk, sending letters to sponsors, making confirmation calls to vendors and other duties as assigned under the supervision of the Events Manager


Be a Team Player

  • Support Chamber staff and volunteers as needed.
  • Work collaboratively across all areas of the organization.
  • Represent the South Tampa Chamber in a positive, professional, and enthusiastic manner.
  • Take ownership of responsibilities and step in to help wherever needed.
  • Perform other duties and special projects as assigned by the President & CEO.

Hours & Compensation

  • This is a part-time, non-exempt position, requiring approximately 20โ€“25 hours per week.
  • Core office hours: Mondayโ€“Friday, 10:00 a.m.โ€“2:00 p.m.
  • Additional hours may be offered for Chamber signature events, meetings, and special projects.
  • Compensation: $20.00 per hour
