Centralized Leasing & Operations Assistant



Location:  South Carolina, Upstate (Anderson/Greenville/Spartanburg)


Summary

We are seeking a highly motivated, organized, and results-driven Centralized Operations & Leasing Assistant to support our leasing and property operations team. This role is ideal for an individual who thrives in a fast-paced environment, can effectively manage multiple priorities, and has a strong background in leasing, sales, and customer relationship management.

The successful candidate will serve as a centralized resource supporting leasing activities, resident and prospect communication, administrative operations, and follow-up. This individual must be proactive, accountable, detail-oriented, and comfortable using technology and CRM systems to drive leasing performance and operational efficiency. This role will assist with various properties within the conventional business unit’s portfolio.  

Job Duties: (Note, this is not an all-inclusive list, and assignments may change based upon property or conventional business unit needs.


Primary:

  • Managing new lead follow-up and appointment scheduling
  • Conducting centralized renewal outreach and tracking
  • Monitoring CRM compliance and lead management

Secondary:

  • Performing work order satisfaction follow-up calls
  • Completing concession and operational audits assigned by Regional team
  • Assist with special tasks or projects for clients as assigned by Regional team
  • Supporting reporting, compliance, and special projects
  • Assisting with portfolio-wide administrative initiatives
  • Providing remote coverage during PTO, leave, vacancies, and staffing shortages
  • Assisting onsite teams with monthly reporting deadlines and administrative tasks when a vacancy is present

Key Responsibilities

  • Manage and respond to leasing inquiries, leads, and prospect communications in a timely and professional manner.
  • Conduct consistent and strategic follow-up with prospective residents to maximize conversions.
  • Maintain accurate and up-to-date prospect, resident, and leasing information within applicable systems.
  • Utilize CRM and property management technology to track leads, follow-ups, activities, and results.
  • Support property teams with centralized administrative and operational tasks.
  • Coordinate and prioritize multiple assignments while maintaining a high level of accuracy.
  • Build strong rapport with prospective residents, residents, and internal team members.
  • Identify opportunities to overcome objections, move prospects through the leasing funnel, and close business.
  • Assist with lease-related documentation and processes.
  • Conduct renewal follow up and maximize retention at various communities.
  • Monitor outstanding follow-ups and ensure commitments and deadlines are met.
  • Communicate effectively with onsite and corporate teams to ensure a seamless customer experience.
  • Maintain confidentiality and professionalism when handling resident and company information.
  • Contribute to leasing goals, occupancy objectives, and overall operational efficiency.
  • Travel to any property in the portfolio at the request of Manager.

Required Qualifications & Skills

  • Proven experience in leasing, sales, and property management
  • Strong sales background with a demonstrated track record of closing.
  • Proficiency with EliseAI, Yardi IQ/CRM, Yardi, and Blue Moon.
  • Exceptional follow-up skills and the ability to consistently move prospects toward a decision.
  • Highly organized with excellent attention to detail.
  • Strong ability to multitask and manage competing priorities.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and the ability to quickly build rapport and establish trust.
  • Self-motivated and able to work independently with minimal supervision.
  • Highly accountable with a strong sense of ownership.
