Job description

Part-Time Real Estate Operations & Administrative Coordinator

417 Home Collective | Keller Williams Local

Part-Time to Start | Monday–Thursday | 9:00 AM–2:00 PM | 20 Hours Per Week

About the Role

417 Home Collective is looking for the missing piece to our team: someone who thrives behind the scenes, loves organization, thinks ahead, and genuinely enjoys helping others succeed.

This is more than a traditional administrative position. We're looking for someone who can help keep our growing real estate team organized, consistent, and moving forward. The right person will be proactive, detail-oriented, dependable, creative, and comfortable taking ownership of their responsibilities.

If you're the person who loves a good checklist, notices the details others miss, and enjoys turning chaos into an organized system, you may be exactly who we're looking for.

Schedule & Growth Opportunity

ON SITE: Monday–Thursday, 9:00 AM–2:00 PM

Approximately 20 hours per week

This is an in-office, part-time position to start, but we're looking for someone who wants to grow with us. If it's a great fit for both sides, we would love for this position to eventually grow into a full-time role.

What You'll Do

Your responsibilities will include a mix of operations, marketing, database management, lead support, and team accountability, including:

  • Schedule and manage social media content
  • Create and distribute monthly newsletters
  • Assist with marketing campaigns, mailers, flyers, and promotional materials
  • Bring fresh marketing ideas and creative initiatives to the team
  • Maintain and organize our Keller Williams Command CRM/database
  • Research, validate, and update client and lead information
  • Enter, assign, organize, and manage incoming leads
  • Help maintain and improve team systems and processes
  • Coordinate team events and schedule open houses
  • Provide general administrative support
  • Assist with basic accounting and closing coordination
  • Support outbound lead-generation and follow-up efforts
  • Help ensure new leads are properly entered, assigned, and nurtured
  • Assist with FSBO, expired listing, open house, sphere, and database lead-generation activities
  • Help our agents stay accountable to their goals, follow-up activities, and business plans

We're Looking for Someone Who

  • Is highly organized and loves systems
  • Has exceptional attention to detail
  • Is proactive and doesn't always wait to be told what needs to happen next
  • Can confidently manage multiple priorities at once
  • Communicates professionally and effectively
  • Is comfortable working with technology, databases, and spreadsheets
  • Enjoys problem-solving and finding better ways to do things
  • Is dependable, self-motivated, and takes ownership of their work
  • Loves working with people but also really loves a checklist
  • Has a heart to serve and enjoys helping a team succeed

Real estate experience is helpful but not required. We're more interested in finding the right person with the right work ethic, personality, organization skills, and willingness to learn.

Why 417 Home Collective?

This isn't just an admin position. It's an opportunity to become an important part of a growing real estate business by helping create consistency, accountability, and an incredible client experience behind the scenes.

We work hard, support each other, and care about what we're building. We're looking for someone who wants to become an important part of our team and, ideally, grow into a full-time position as our business continues to grow.
