The HR Administrative Assistant provides administrative support for HR operations, onboarding, employee housing, and team member records. This role serves as a welcoming first point of contact for team members, candidates, and visitors to our Operations Support Center while ensuring accurate documentation, maintaining confidentiality, and supporting the day-to-day functions of the Human Resources department. Pay Range: $18.00-$20.00 per hour. Starting compensation will be determined based on experience, skills, and other job-related factors.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Serves as a welcoming point of contact for team members, candidates, vendors, and visitors to the Operations Support Center.

  • Answers and directs incoming phone calls to the appropriate person or department.

  • Manages incoming and outgoing mail, packages, and deliveries.

  • Maintains a tidy and organized reception and lobby area.

  • Assists with daily maintenance of team member records, HR data files, and applicant information.

  • Supports the organization, accuracy, and confidentiality of HR documentation and electronic files.

  • Assists with administrative processes that occur within the HR Department, as needed.

  • Supports the onboarding process by preparing, collecting, reviewing, and organizing new hire documentation.

  • Greets new hires on orientation days and assists with day-of orientation check-in, paperwork, and onboarding documentation.

  • Works in coordination with Staffing Coordinators, Talent/Recruiting team members, and the broader HR team.

  • Assists with employee housing administration, including housing-related paperwork, tracking, communication, and general coordination.

  • Maintains confidentiality when handling employee, candidate, housing, and HR information.

  • Supports special projects and other HR administrative needs as assigned.

Must comply with all company policies and procedures.

To perform the essential functions of this position, regular and consistent attendance is required.

Must be able to work well with other Team Members, Managers, and interact with our guests.

EDUCATION and/or EXPERIENCE

  • High School degree or equivalent preferred

  • Basic knowledge of Microsoft Office programs

  • Must demonstrate an understanding and need for confidentiality

LANGUAGE SKILLS

  • Must be able to communicate with guests, team members, and managers effectively

MATHEMATICAL SKILLS

  • Basic knowledge and understanding of math

REASONING ABILITY

  • Must be able to exercise judgment and make decisions based on job knowledge and awareness of company goals
